Reporting to the Event Marketing Manager, this event support role will provide event‑related support services for the departments under the office of the President and Dean, including Institutional Advancement and Alumni Affairs, MARCOM, Board of Trustees, and other event support roles as determined by the manager. This role will also provide support to corporate communications/external affairs team(s) in areas that may include projects, meetings, and the planning of events.
Minimum Qualifications Education/Experience – Bachelors Degree from a regionally accredited college or university with 1‑2 years experience. A high school diploma with 3 years or more directly related experience may be substituted.
Requisite Skills – Flexible, self‑starter who is customer‑service driven, able to work independently and willing to take a hands‑on, proactive approach to resolving operational issues. Ability to thrive in high‑pressure situations. Knowledge of principles and practices of event planning, development, and evaluation. Knowledge of and ability to interpret and apply related federal, state, local laws, rules and regulations. Knowledge of and ability to interpret and apply related institutional policies and procedures. to work cohesively with facilities staff.
Preferred Qualifications Prior event coordination experience is strongly desired.
Job Duties
Providing dedicated support to the Event Marketing Manager.
Serving as backup where necessary.
Assisting with the timely execution of day‑of event activities and production of key deliverables to ensure events run smoothly.
Providing logistical support for OPD, OIA, MARCOM, and OGC sponsored events, including ensuring the reconfiguration of meeting‑room furniture and managing and distributing MSM event equipment inventory.
Requesting additional event furniture from MSM Facilities and ensuring setup is done on time and as requested.
Assisting with coordinating events, celebrations, and holiday decorations, including setting up seats, event decorations, and other event needs as required.
Providing physical organizational management of event and facilities property.
Merchandise management: keeping event supplies current, creating a tracking system to properly distribute, retrieve, and maintain merchandise, and organizing and distributing MSM‑branded items across the institution as needed.
Maintaining liaison with other programs, offices, and departments at MSM to coordinate program business and accomplish program objectives; interfacing with external organizations as assigned to ensure cooperative efforts are enhanced and available resources are utilized.
Performing routine surveys of the building to identify and report issues to ensure a professional environment for sponsored events and activities.
Coordinating with the maintenance and cleaning teams to ensure event spaces are completed in a thorough and timely manner.
Providing dedicated assistance for OPD/OIA/MARCOM/OGC sponsored events and fundraising activities.
Acting as a liaison between the Campaign and Event Shared Service and requisite departments for event success, participating in planning meetings as assigned by the manager.
Working cohesively with Facilities, Public Safety, and IT departments.
Performing other duties as assigned.
