Job Summary The Legal Secretary is an administrative support position that assists the Prosecutors office. Work involves recurring situations with occasional variances. Regular independent judgment is required to apply standard practices and decision-making within clearly defined parameters. The position works independently with limited supervision under the general direction of the Prosecutor, the deputies, and the Office Manager. The role involves communicating regularly with others inside the department, throughout the department, and occasionally with others outside the organization. The work has substantial impact on the operations of the Prosecutors office and is typically performed in an office environment with recurring intermittent stress due to deadlines. The position does not typically involve travel.
Essential Functions
Legal Secretary I:
Answers, screens, and routes telephone calls; transports paperwork to and from the Courthouse; receives and filters incoming documents from the Court; copies and files necessary paperwork related to cases; calendars and tracks court dates, deadlines, appointments, and other pertinent dates.
Legal Secretary II:
Includes all Legal Secretary I duties. Additionally: prepares files for various cases (Infractions, Misdemeanors, Felonies, Criminal Complaints, Petitions, Summons, Warrants, Motion and Orders, Subpoenas, Discovery, correspondence, pleadings, and documents necessary to complete each case); responds to discovery requests from Defense Counsel or pro-se defendants; compiles necessary paperwork from law enforcement, courts in other states, and other counties to prepare files for trial; schedules court hearings and appointments for assigned attorney and provides support to the Prosecutor assigned to a case; receives, identifies, and calculates restitution information for victims of all crimes.
Legal Secretary III:
Includes all Legal Secretary I and II duties. Additionally: prepares technical criminal and civil legal documents (Briefs, Judgments, Complaints, Petitions, Motions, Orders, Notices, Warrants, Summons, Subpoenas, Discovery requests, Failure to Appear, Orders to Show Cause, Probates, and other pleadings for Civil Lawsuits, Guardianships/Conservatorships, Public Records Requests, Tort Claims, Medical Indigency, Child Protection, Mentally Incapacitated, Fugitive and Asset Forfeiture files); prepares and composes highly confidential correspondence, reports, documents, memos and other material; organizes and maintains the civil deputy prosecutors legal caseload/calendar; attends meetings as necessary and requested; follows policies and procedures for Grand Jury implementation and coordination; prepares all forms and files required; maintains confidentiality in dealing with high profile investigations coming before a Grand Jury; works closely with the Prosecutor, Jury Commissioner, Judges, and Grand Jurors in scheduling.
