Description The role supports property management operations, leasing activities, resident relations, and day-to-day financial and administrative duties in a multi-family community.

Specific Duties and Responsibilities

Accounts Receivable: Accept and accurately post rent and other payments in Yardi.

Resident setup for online, electronic, and WIPS payment systems.

Address late rent payments by following IPM policy, including distributing late notices and contacting delinquent residents.

Make bank deposits daily.

Notify residents of NSF checks within 24 hours and follow up within 48 hours.

File evictions and dispossessory warrants in compliance with local statutes and company policy; attend court dates as needed.

Walk all units within 24 hours of confirmed move-out date; perform move-out inspections in Yardi.

Turn over bad debts for collection and process SURE deposits within 72 hours of move-out; obtain monthly collection reports.

Prepare month-end accounting reports per Owner’s requirements and Company procedures.

Ensure purchase order policy is utilized; reconcile statements, clear PO exceptions, and monitor approvals.

Process invoices for payment as directed by the Community Manager.

Manage vendor process to ensure vendors are using Vendor Café and are approved via Vendor Shield.

Weekly budget review to identify variances and ensure accuracy of GLs.

Respond to accounting inquiries timely and assist with monthly close-out.

Process SODAs (Statement of Deposit Account) and submit to Regional Manager within three business days of move-out.

Utilize Yardi to post rent and produce accurate AME reporting.

Assist in leasing activities and resident relations; support Renewal/Resident Retention program.

Assist with pre-inspection walks and comply with company policies and procedures.

Assist in monitoring leasing activity reports and ensure timely completion.

Complete Utility Log and monitor usage; enter service requests in Yardi.

Serve as back-up to Community Manager, including coverage in absence.

Experience/Qualifications

Two years’ experience in the multi-family apartment industry.

Experience in dealing with customers or the general public.

Leasing/customer service experience helpful.

Collection experience helpful.

Management experience helpful.

High School Diploma or GED; business school/marketing courses preferred.

Proficient in MS Office Suite; Yardi experience a plus.

High energy, positive attitude, people-oriented; strong customer service mindset.

Clear and effective communication; professional demeanor and team-oriented attitude.

Willing to work flexibly, including outside of published office hours if needed.

Continuing education as defined in IPM policies and procedures manual.
