Job Summary Assists the Director of Human Resources with day-to-day administrative functions. Manages the administrative functions of new hires, background checks and drug testing process. Assists in communicating with employees, managers, and third-party administrator regarding Family & Medical Leave and other Leaves of Absence. Other various HR-related functions.
Essential Duties and Responsibilities
Drafts offer letters for new hires for manager review/approval, then emails to new hire.
Determines and communicates appropriate locations for drug screens/physicals.
Submits background checks/MVRs.
Monitors and reviews all results to determine if satisfactory to meet eligibility criteria of position in which new hire was offered.
Keeps hiring managers informed of new hire status.
Collects all new hire paperwork.
Manages I-9 process for new employees: verify forms are complete, signed, and complete copies of appropriate supporting documentation are provided.
Manages unemployment claims process with vendor: forward incoming claims to vendor; retrieve documentation from files, former employee’s manager, and Employee Services and forwards to vendor. Follow up with manager to ensure s/he has paperwork and is prepared for any upcoming hearings.
Manage Federal and State Labor Law Poster Program and subscription service for Hogan (company-wide).
Assist in communicating with employees and managers regarding Family & Medical Leave, Paid Maternity Leave, Military Leave, and Personal/Discretionary Leave, as well as working with our third-party administrator.
Maintain an organized follow-up/tickler system to track open-ended items that need to be followed up on at a later date.
Ensures any on-going required paperwork is completed.
Handles general employee inquiries.
Maintains employees’ electronic personnel files in DocuWare.
Ensures confidential information is protected.
Other duties as assigned.
Requirements
Bachelor’s degree in HR, Business Administration is required
Knowledge of human resource database software preferred
Strong organizational skills with great attention to detail
Excellent communication skills, both verbal and written
ADP Workforce Now experience preferred
Proficient in Word, Excel, PowerPoint and Outlook
