Sales Coordinator
On an avenue steeped in history, we're what comes next: a curated space to be yourself and embrace the bold. A design led lifestyle hotel, Hotel Park Ave sits at the heart of the NoMad neighborhood on one of Manhattan's most famous streets. The hotel, recently refurbished by the Lore Group design team, offers refreshed rooms, a new lobby, and nine new suites. New restaurants and bars will be announced soon. As Sales Coordinator, you will play a vital role in supporting the hotel's Sales & Marketing team by providing administrative, operational, and client-facing support. This position ensures the smooth execution of sales processes, assists in client communications, and contributes to the achievement of revenue goals. The Sales Coordinator is a key liaison between the sales team, internal departments, and clients, ensuring a seamless and professional experience. Key responsibilities include: Act as the primary resource for the operational and administrative functions for the group block management including building room blocks, managing group inventory, billing, pre-arrival and post departure tasks as required Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms and keep organized files of all groups Oversee accuracy of room blocks and reservations. Set-up proper billing accounts according to accounting policies Process sales related reservation requests, changes, and cancellations received, including routing and pro-forma invoices Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate. Follow sales techniques to maximize revenue. Communicate information regarding designated VIP reservations. Input and access data in reservation system Perform any other job-related duties as assigned Core essential functions: Review incoming sales leads and assign to proper sales managers Organize and manage sales manager calendars Creates customized sales reports in Amadeus, runs existing reports for Sales Leaders Maintain sales contracts and other documentation, edit/customize documents as needed Coordinate turnover process to operational departments Maintain and organize sales database for sales managers Provide collateral for sales managers Prepare event space and showrooms for sales managers Organize and coordinate event timelines for sales functions Anticipate guest's needs, create personal and memorable experience and solutions Collaborate and communicate with all departments to ensure seamless guest satisfaction This position requires the following knowledge, skills and abilities: Fun and welcoming personality is a MUST Excellent communication skills; both verbal and written is a MUST Possess poise, elegance and calm demeanor in all situation Exceptional organizational skills System Administrator: adaptability to learning new systems is required Prior experience with Delphi, Amadeus, Opera, CVENT & Meeting Broker is helpful but not required Location: New York, NY
