About the role MicroTransponder, Inc. is seeking a highly motivated Intake Specialist to support patient access to an innovative therapy for individuals recovering from chronic stroke. This role is a key contributor within the Reimbursement and Market Access team and serves as the primary point of contact for hospital, physician, and rehabilitation providers nationwide.

The Intake Specialist is responsible for receiving, reviewing, and managing medical record documentation, working closely with provider offices to support pre-service clearance and facilitate timely patient access to therapy.

The Intake Specialist plays a critical role at MicroTransponder by supporting patient access through a growing network of provider partners who share a commitment to improving outcomes for individuals living with chronic stroke. This role works directly with provider offices to coordinate and manage the pre-service clearance process, including the collection, review, and evaluation of clinical documentation.

What you'll do

Develop and maintain an understanding of the coverage policy landscape for vagus nerve stimulation (VNS) and rehabilitation therapies for upper limb impairment related to chronic stroke.

Obtain, organize, and securely store complete patient medical records from multiple providers and healthcare settings.

Review clinical and medical documentation for completeness, accuracy, and compliance with internal guidelines and program requirements.

Identify documentation gaps or inconsistencies and proactively work with provider offices to resolve issues.

Clearly and accurately document all communications with provider offices, patients, internal teams, and other stakeholders within company databases.

Demonstrate proficiency in medical terminology, medical office workflows, and pre-service clearance processes.

Apply working knowledge of prior authorization concepts.

Maintain compliance with HIPAA and data privacy regulations at all times.

Support continuous improvement of intake and documentation review processes.

Perform other duties as assigned in support of the Market Access & Reimbursement team.

Qualifications

Combination of relevant education and professional experience

Minimum of 2 years’ experience in a medical or healthcare-related field preferred

Strong understanding of pre-service clearance procedures and the ability to operate effectively in a fast-paced environment.

Exceptional attention to detail with the ability to manage multiple cases simultaneously.

Strong written and verbal communication skills

Experience in medical front-office operations and/or pre-service clearance preferred.

Experience handling, reviewing, and storing medical records with awareness of HIPAA compliance requirements.
