Description
This role oversees the comprehensive management of the attendee experience, beginning with planning sessions, invitation distribution, event site and mobile application development, and concluding with onsite support and post‑event surveys. The position requires hands‑on expertise with Cvent and SpotMe platforms to design and administer complex registration websites, manage data and reporting, create dynamic mobile apps, and execute onsite registration and mobile app engagement. Effective collaboration with event managers, vendors, and business stakeholders is critical to ensure flawless event execution and continuous improvement of templates and processes.
Responsibilities
- Comprehensive attendee communication throughout the event lifecycle, including invitation, ongoing communications, travel guidance, and onsite support.
- Design and manage complex Cvent registration sites, handling registrant data, custom graphics, multiple attendee types, and registration paths.
- Oversee onsite registration for events of 50–1,000 attendees, including physical and digital material distribution and training of local support staff.
- Develop and manage mobile apps, leveraging content management, agenda creation, gamification, streaming, and networking, and ensuring testing, launch, and troubleshooting.
- Continuously identify process improvements and implement technology solutions within attendee management and across project teams.
- Manage onsite operations, including registration functions, mobile app activities, third‑party vendors, freight logistics, and crisis management within the health and safety response team.
- Collaborate with the lead planner and event team, make low‑risk decisions, manage data for pre‑event, onsite, and post‑event reporting, and generate reports for key workstreams.
Qualifications
- Bachelor’s degree preferred with 3–5 years of related experience in a Fortune 100 corporation or third‑party supplier.
- Highly skilled in event technology for registration and mobile app solutions, managing the full lifecycle of registration activities.
- Experience with Cvent and SpotMe mobile app highly preferred.
- Advanced skills in Excel and Access for data management.
- Strong verbal and written communication skills with a high level of attention to detail.
- Ability to multitask and prioritize multiple responsibilities in a fast‑paced environment.
- Strong sense of ownership and initiative, able to work independently.
- Professional demeanor when interacting with senior‑level management.
- Team‑oriented, outgoing, and enjoys client/customer interactions.
- Must be able to travel up to 40% as required.
