Location(s): Silver Spring, Maryland (on-site) | National Museum of Health and Medicine (NMHM) Full benefit program, including: health, PTO, and 401k + contribution High School Diploma Three (3) - Five (5) years of experience CICONIX is seeking a Collections Database and Digital Media Specialist to support the National Museum of Health and Medicine (NMHM) in Silver Spring, MD. About the Role
Maintain the museum’s collection information database, KE Emu and for NMHM’s digital archives for the museum and preparing materials for related digital projects. Assist with maintenance and standardization of data in electronic collections management system KE Emu. Perform regular maintenance routines. Implement bulk changes to data in KE Emu in the form of imports and global replace. Assist users with complex queries as needed. Monitor system usage, set up alerts, run reporting metrics, and audit data through reports; perform data‑hygiene checks; expose entries which do not meet standards, and perform cleanup as needed. Write, edit, design, and troubleshoot Crystal Reports. Assist with management of user account and permissions groups for KE Emu in conjunction with the Registrar and Linux server administrator. Assist with software upgrades; server migrations and integrations; and data migration. Maintain and update in‑house system documentation and KE Emu user’s manual, train and support users. Support accurate data mapping, validation, integrations, and clean‑up activities across collections branches using the collections management system KE Emu and other database programs. Collaborate with Collection Managers to enhance collection information and KE Emu user experience. Assist with planning, design and implementation of KE Emu software customizations. Maintain logs of issues and assist with coordinating/tracking fixes. Escalate support requests to Registrar as needed, report bugs, and submit feature requests. Collaborate with leadership and Collection Managers to standardize KE Emu field usage, preferred terminology, and authority controls. Develop and maintain a digital archive for a wide variety of collection materials across the division. Apply numerous established digital practices in processing materials, consisting of archival, historical, visual, and anatomical formats. Prepare a variety of material for digital and other reformatting, completing duplication service, and reviewing duplicated images for adherence to established quality standards. Compile and maintain records of processing activities and complete appropriate forms for statistical reports. Perform a sequence of detailed routines in searching online databases to identify what physical and digital items are in the division’s care and helps track where they are. Assist within inventories, generating container lists, or other kinds of finding aids/data queries using KE Emu and other databases. Track contents of digital storage, maintain inventories, maintain cross‑references between digital assets in storage and records in the database, liaise with IT department for backup of digital assets. Perform related duties as assigned. Qualifications
Education: High School Diploma required. Experience: Three (3) – Five (5) years of experience, experience working with KE Emu, access, and excel databases, routine handling and retrieval of digital materials and the use of scanners, cameras and other digitization equipment. Security & Background Check: U.S. Citizenship and a successful background investigation are required; ability to obtain and maintain a government security clearance. Additional Requirements: Willingness to comply with the government vaccination requirements. Compensation: TBD *This opportunity is contingent and will begin upon contract award.
