Sales Supervision Coordinator Hybrid position in Scottsdale, AZ 85255.

Contract to Hire.

Pay Rate:

$20–$25/hr.

Schedule:

Monday – Friday, 8am – 5pm.

Description The Sales Supervision Coordinator works in conjunction with Sales Supervision Principals to ensure efficient workflows through proper and timely paperwork processing, answering phone calls, assisting branch offices, and meeting department deadlines. The Coordinator supports the department by coordinating the receipt of transaction submissions via an electronic imaging system and recording the information in approved systems for tracking and reporting purposes. The role helps coordinate efforts between management and other departments to ensure business is processed in accordance with the firm’s policies and procedures to protect clients, advisors, and the firm.

Responsibilities

Coordinate receipt of submissions via the Support Center.

Daily coordination of all transactions requiring suitability review, including variable annuities, indexed-linked annuities, fixed-indexed annuities, and non-traded alternative investments.

Review paperwork for completeness and accuracy while processing transactions submitted for review, including reviewing financial disclosures and performing calculations per guidelines.

Resolve missing documentation and reconcile misrouted documentation to the proper case or department.

Respond to requests from Sales Supervision Managers, principals, and other departments regarding submissions.

Assign pre‑approval cases to principals for review and ensure the daily workload of principals is balanced.

Work with Sales Supervision principals, managers, and branch offices to address and resolve deficiencies in submissions.

Enter transaction data into Direct Order System.

Monitor, report, and enforce internal controls to ensure compliance with industry standards, the firm’s policies, and procedures.

Provide strong customer‑service support by handling inbound calls and corresponding with branch offices via phone, email, and Support Center.

Perform all other duties as assigned.

Skills & Qualifications

Proficiency with internal systems: NetX360, Front‑End Imaging (FEI), Salesforce, Client Central, and back‑office functions.

Knowledge of securities industry rules and best practices regarding brokerage account operations.

Strong organizational and time‑management skills.

Knowledge of investment management, transactions and securities, brokerage operations and banking.

Experience with Excel data entry.

Series licensing: Series 6, 7, 63, 66 (preferred).

Series 7 and 63 preferred; Series 6/63/66 additional.

Experience with NetX360/Salesforce/Pershing clearing house.

NICE TO HAVE: SIE Certification.

Preferred: Series licensing (Series 6, 7, 63, 66).
