The Marketing Operations Coordinator plays a critical role in ensuring seamless execution of marketing initiatives and client-facing activities. This position is responsible for managing logistics, tracking expenses, and supporting operational processes that enable the marketing team to deliver high-quality experiences. Work Model
Start date immediate. Based out of our Madison or Brookfield, WI location, onsite requirements of 1-2 times per month. Therefore, a Wisconsin resident is required. Responsibilities
Logistics & Execution:
Plan and coordinate venues, vendors, A/V, catering, and materials; ensure smooth on-site setup, event flow, and teardown. Cost Tracking:
Monitor budgets, reconcile expenses, process invoices and sponsorships accurately and on time. Branded Materials:
Manage stationery, holiday cards, and giveaways; track orders and resolve issues promptly. Marketing Support:
Provide backup for request intake and assist with documentation, nametags, and shared systems. Administrative Tasks:
Maintain organized records, prepare materials, and proactively share information with stakeholders. Qualifications
Associates Degree and 1 year of relevant experience, OR 3+ years of Executive Administration experience. Ability to juggle multiple projects at once, balancing priorities and deadlines. Highly organized and detail oriented Demonstrated aptitude and curiosity for technology and systems, including emerging tools such as AI; ability to quickly learn, adapt, and leverage digital solutions to drive efficiency and innovation.
