Job Title: Events and Programs Specialist
Location: Hybrid in Herndon, VA (3 days/week on site). Must be willing and able to travel approximately 25-35% for on‑site event execution.

Position Overview Four Inc. is seeking an enthusiastic and highly organized Events and Programs Specialist to join our dynamic marketing team. This role is crucial for executing high-impact, results‑driven events that support our mission as a leading public sector IT provider.
The Events and Programs Specialist will be the primary driver for all marketing events, including corporate conferences, public sector tradeshows, internal/partner lunch and learns, educational webinars, and client/partner engagements. Success in this position requires a keen eye for detail, exceptional negotiation skills, and a commitment to delivering a flawless brand experience that enhances relationships with federal government clients and technology partners.
Essential Functions
Manage the entire lifecycle of 20+ events annually, ranging from small local briefings to large‑scale industry tradeshows, ensuring alignment with Four Inc.'s business goals.
Develop, monitor, and maintain detailed event budgets, accurately tracking expenditures, managing vendor invoices, and providing post‑event ROI analysis.
Serve as the primary liaison with multiple industry vendor/partner portals, managing all event logistics.
Manage venue selection, catering, A/V equipment, booth design/shipping, and all on‑site registration and logistics for both in‑person and virtual events.
Utilize design skills (e.g., Adobe Illustrator) to assist with the creation and customization of event materials, including signage, digital banners, collateral, and presentation templates.
Leverage HubSpot to manage event invitations, registration forms, email communications, and post‑event follow‑up campaigns, ensuring lead data integrity.
Skillfully negotiate favorable terms with hotels, tradeshow organizers, and third‑party vendors to maximize event spend and ensure service level agreement (SLA) compliance.
Maintain clear, proactive communication with sales, executive leadership, and manufacturing partners regarding event objectives, timelines, and logistical needs.
Support special projects as needed.
Other duties as assigned.

Qualifications
Bachelor’s degree in Marketing, Communications, Business, or a related field.
Minimum of 3 years of professional experience in event planning, corporate marketing, or conference management, preferably within the IT, B2B, or Public Sector/Government Contracting space.
Demonstrated proficiency in budget management and financial reporting related to large‑scale events.
Proven expertise in understanding and utilizing multiple vendor/partner exhibitor portals for event logistics.
Proficiency with HubSpot (or a similar marketing automation/CRM platform) for event promotion, lead capture, and reporting.
Strong experience in vendor negotiation and contract management.
Proficiency in Adobe Illustrator or similar graphic design software for light collateral development.
Prior experience in virtual event platforms and running large, successful webinars.
GovCon experience preferred.
Familiarity with the Federal Acquisition Regulation (FAR) and compliance requirements related to government client events preferred.
Ability to operate independently, prioritize effectively, and maintain a high standard of accuracy and follow‑through. Must be able to execute tasks independently once trained.
Exceptional attention to detail and organization skills.
Professional presence and polished communication skills.

Physical Requirements The work is generally sedentary and performed in an office or remote setting; however, some travel to government or partner sites may be required. The position may require:
Visual acuity to view computer screens, read technical documents, and perform data analysis and data entry
Ability to sit or stand for extended periods
Manual dexterity sufficient to operate a keyboard, mouse, and other office equipment
Occasional lifting or carrying of equipment, boxes, or documents (typically under 40 lbs)
Ability to hear and speak clearly in virtual and in‑person meetings
