We are seeking a highly motivated, team-oriented professional to support our sales, marketing, and executive operations. Experience in sales coordination, marketing support, and CRM management is essential. A working knowledge of nonqualified deferred compensation plans or retirement plan sales is a strong advantage.
Key Responsibilities Administrative Support
Arrange staff meetings and schedule appointments
Maintain and manage the office and executive calendars
Book and coordinate travel arrangements
Draft memos, correspondence, invoices, receipts, spreadsheets, and reports as needed
Maintain organized office databases and filing systems
Purchase office supplies and coordinate with vendors
Coordinate meetings, calls, webcasts, and speaking engagements
Take initiative to facilitate administrative and operational tasks
Manage sales deadlines and reminders for follow-up
Sales Support
Manage and maintain CRM-related processes, documentation, tasks, and deliverables for the CEO, consultants, and partners
Provide proactive follow-up on sales opportunities and client/prospect communications
Participate in sales meetings as requested; take notes, create action items, and coordinate follow-ups
Strategize with the CEO to identify research subjects and sales goals
Correspond with prospects to gather background information, goals, and expectations
Brief the CEO and consultants on prospect background and presentation materials prior to meetings
Presentation Preparation
Conduct research and collect prospect and third-party data
Draft and edit PowerPoint presentations incorporating research and company information
Ensure presentations are completed accurately and delivered on time
Proposal Development
Draft customized proposals outlining objectives, audience, research findings, recommendations, scope of work, budget, and timelines
Revise proposals based on internal and prospect feedback
Develop proposal presentations when required
Track proposal status, conduct follow-ups, and ensure timely delivery
Sales Pipeline Administration
Maintain and manage the company sales pipeline
Track new business outreach, meetings, proposals, presentations, and targets
Integrate notes, action items, and follow-ups from client meetings into the CRM
Manage sales deadlines and coordinate follow-up activities with the CEO and consultants
Required Skills & Experience
Bachelor's degree or equivalent experience in Sales, Marketing, or a related field
3–5 years of experience in sales or sales support within HR, investment/finance, and/or consulting industries
Exceptional written and verbal communication skills
Strong project management capabilities, including deadline management
High attention to detail with excellent time management and prioritization skills
Ability to work independently and collaboratively within a team environment
