The Vintage Club in Indian Wells, California is a premier residential community founded over 40 years ago. The mission of The Vintage Club is to enrich the lives of our members, foster enduring friendships and provide excellence in all our activities, services and facilities.
Position Summary The Executive Director (Director) is responsible for the services and personnel required to operate and maintain The Vintage Club Community Association (Association) and the seven (7) independent neighborhood sub associations (Associations). The Director will support the culture of the club and the independent neighborhood sub associations. The Director will directly manage Community Association Managers (CAM’s), support staff and the Director of Security. The Director will report to the Association Board of Directors and assist the boards of the independent neighborhood sub associations.
Requirements
Executive management of complex community wide projects
Excellent written and verbal communication skills
Highly effective in contract negotiation, management, and compliance
Highly familiar and comfortable with fiber optics, telecommunications and technical security tools including access control. Enlisting experts, the Executive Director will oversee and provide direction to their work
Established supervisory background with demonstrated leadership excellence
Service orientation, a team player and a great attitude
Flexible schedule to be available to members
Strong interpersonal skills to generate credibility, trust and respect within the club and community
Demonstrates strong expertise in CC&Rs, California Civil Code, and Tenant & Fair Housing Laws Prefer current property manager certifications, such as CAM or CCAM, and a college degree
Computer knowledge: MS Word, Excel and Outlook
Excellent attention to detail, organizational skills and timeliness
At least 3-5 years’ experience in a high-end residential community
At least 15 years’ experience in relevant property management
Essential Functions Develop and implement strategies that promote The Vintage Club and the Association’s mission, culture, core values and global service standards.
Develop and maintain strategic plans as they relate to short and long-term goals of the Association, the neighborhood sub associations and the community.
Maintain a positive and cohesive work environment to develop efficiencies and synergy in the organization
Oversee and monitor fiber optic, telecommunications service contracts, technical security tools, including performance standards, service level agreements (SLA’s) billing accuracy and vendor compliance. Serve as the primary liaison with providers to address outages, upgrades, renewals, and contract negotiations. Ensure all infrastructure agreements align with HOA governing documents, budgetary constraints, and long-term community needs
Provide strategic direction and governance oversight to the Director of Security.
Develop and foster relationships with key clients, industry and trade associations, government representatives, public service organizations, utilities, customer groups and vendors as necessary in the overall management of the Association and HOA’s.
Direct and supervise employees with regards to training, motivation, discipline and career development.
Work effectively with co-workers, members, homeowners, the boards of directors, The Vintage Club management and staff, and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress; addressing problems and issues constructively to find mutually acceptable and practical solutions; respect the diversity of our workforce and members in actions, words and deeds.

Community and industry involvement are important to The Vintage Club; participation in at least one outside committee or community service organization is expected.
Develop strong partnerships with the boards of directors; local government; utilities; legal counsel and The Vintage Club Management including Human Resources and the Controller.
Commit to attending all designated association meetings, neighborhood events and team meetings.
Ensure the associations’ CC&Rs, Rules and Regulations and Architectural Guidelines are accurate and enforced.
Perform or assist with any operations as required to maintain workflow and meet schedules.
Conduct business at all times with the highest standards of personal, professional and ethical conduct.
Ensure all safety precautions are followed.
Have a practical and working knowledge of the Davis Sterling act. Comply with the California law and the Civil Code.
Duties Financial Administration and Management
Financial Administration. The Director shall oversee the preparation of the Association’s separate budgets, reserve funding, disclosures and reserve studies in compliance with the Civil Code and California law. The Director shall have oversight of association accounting activities; some of these activities may be delegated to the Controller or other third party per the boards of directors.
Accounting/Financial Reports. The Director with the Controller will maintain separate records in accordance with accepted accounting standards and procedures for each Association including a balance sheet, profit and loss and a general ledger at year end and at least quarterly or as requested by the boards of directors. The Director shall order an annual audit of each Association by a Certified Public Accountant and provide to the members in compliance with the California Civil Code.
Annual Budget Report Preparation. At least 100 days prior to the end of each fiscal year, the Director will prepare and submit to the associations’ boards of directors a budget for approval. The Director will seek competitive bids for major contracts as part of the budgeting process and present to the boards or committees.The Director shall ensure the budget, suggested increases to assessments or special assessments, related reports and disclosures are distributed to the homeowners as required by the California Civil Code.
Annual Policy Statements. The Director shall ensure the Annual Policy Statement is prepared and distributed to homeowners as required by the California Civil Code.
Compliance with Budget/Emergency Expenditures. The Director shall comply shall comply with the annual budget.
Investments and Insurance. The Director shall assist with the management and oversite of the Associations’ investments and insurance.
The Director is responsible for reviewing the future needs of the Associations and maintaining a five year reserve/capital plan.
Sub-associations and Architectural Control
Provide strategic direction and oversight as CAM’s execute their duties regarding their sub-associations. Ensure their job descriptions reflect sub association’s expectations. Provide timely performance evaluations with feedback solicited from the sub-associations they are responsible to. Work to develop areas of improvement.
Oversee the CAM’s maintenance of a project management tool to track and monitor Architectural Control of residential remodel progress. Review it regularly. Oversee and assist when projects become complex or delayed.
Ensure CAM’s hold the same customer support standards as the Executive Director
The Director shall assist with the development and compliance of architectural, landscape and construction guidelines and procedures.
Security Operations
The Director shall have oversight of the equipment, facilities and personnel contracted or employed by the Association for the purpose of security and protection around The Vintage Club property. The Director will work closely with the Association Board President in connection with any significant security issues.
Personnel
The Director shall recruit, hire, train, discharge, promote and supervise the management staff and all employees of the Associations with the exception of The Terraces at The Vintage Club.
Meetings, Books and Records, Collections
The Director shall ensure the maintenance of financial records, minutes of meetings and contracts for the Associations.
The Director shall, as necessary, recommend amendments to the Associations’ rules and regulations and make sure that rule adoption complies with California law.
The Director shall maintain a Roster of Owners.
The Director shall oversee the preparation of board packets and be available for board meetings of all of the Associations.
Contracts/Maintenance/Repairs/Capital Improvements
The Director shall be responsible for negotiating and managing leases and/or contracts for: utilities, maintenance, equipment, construction and other services as necessary for the Associations.
The Director shall maintain license and permits required for the Associations.
The Director shall perform regular inspections of all common areas.
The Director is responsible to oversee the contracting, scheduling and supervising the repair, maintenance and replacements of the fixed assets, the common areas and all property of the Associations. This responsibility may include but is not limited to: the exterior walls, common area landscaping, the entrance gates and gate houses, public utilities, cable, roads, fiber optic, roads, lighting, signage and security infrastructure.
The Director will create RFP’s for capital and reserve projects and scope of work for projects within the HOA’s.
The Director shall oversee the management of service requests from owners.
The Director will be responsive to special projects from the boards of directors of the associations.
Communications
The Director shall be responsible for all correspondence/responses for violations of governing documents and normal correspondence with owners, vendors, agencies. The Director shall coordinate mailings to owners.
The Director shall be a conduit to The Vintage Club for activities of the Association.
The Director is responsible for all elections, ballots and votes of the Associations in accordance with California law.
