is seeking a detail-oriented Customer Service Representative to join our team in

Newtown, PA .

The Customer Service Representative will support KVK Tech’s pharmaceutical distribution operations by ensuring accurate, timely, and compliant processing of customer orders within a regulated environment. This role plays a critical part in maintaining customer satisfaction, supporting controlled substance compliance activities, and ensuring adherence to cGMP and DEA regulatory requirements.

Responsibilities

Process and manage customer sales orders received via EDI, email, fax, and eCommerce platforms using internal ERP systems.

Coordinate inventory allocation, generate pick/pack documentation, and support order release to Shipping to ensure accurate and timely fulfillment.

Perform daily invoicing of shipped orders and assist with inventory reconciliation activities.

Execute Suspicious Order Monitoring (SOM) activities for controlled substances in accordance with DEA regulations and internal SOPs, including escalation of flagged orders for further review.

Prepare and process required DEA documentation and reports, including DEA Form 222, and support ongoing regulatory compliance activities.

Investigate and resolve customer inquiries related to orders, pricing discrepancies, billing issues, payment deductions, returns, recalls, and Medicaid-related requests.

Qualifications

Bachelor’s degree in Business Administration, Supply Chain, Operations, or a related field preferred; equivalent experience will be considered.

Minimum 2–4 years of customer service, order management, or operational support experience, preferably within a pharmaceutical, healthcare, or otherwise regulated manufacturing environment.

Experience working with ERP systems and managing detail-driven transactional workflows.

Strong attention to detail, organizational skills, and ability to manage multiple priorities in a deadline-driven environment.

Working knowledge of cGMP principles and familiarity with DEA-regulated products or controlled substance compliance preferred.

Proficiency in Microsoft Office applications, including Outlook, Excel, and Word.

Effective written and verbal communication skills and a professional, customer-focused approach.

Demonstrated ability to maintain confidentiality and exercise sound judgment when handling sensitive customer and regulatory information.
