Convention Sales & Services Coordinator

SUMMARY
Assists convention sales & service managers with leads, bid books, presentations, proposals, Experience KC tours (FAMs), sales missions, site visits, trade show promotions and produces reports from CRM.
KEY RESPONSIBILITIES
Maintains and produce accurate reports
Maintains extranet information for Convention Digest and lead distribution
Assist the Convention Sales & Services team with day-to-day administrative tasks, including managing workflow and supporting department operations.
Assists with bid proposal creation and assembly
Supports sales & service managers with CRM data entry
Performs general administrative functions for sales & services team in day-to-day operations
Monitors and helps coordinate administrative workflow of the Convention Sales & Services department
Assists with preparation for sales & services presentations
Maintains constant supply of sales & services materials (bid proposal packages, sales kits, service pamphlets, videos, etc.) and monitor usage
Composes and types correspondence, including sales leads and sales & service itineraries
Answers telephone and gives information to callers or routes call to appropriate person
Records minutes of various committee meetings
Assists as needed with special projects and events
Provides organizational phone/communication support and back up as needed
Prepares meeting rooms and meeting invites as requested
EDUCATION AND EXPERIENCE
College degree preferred
Strong analytical/problem solving skills
High level of proficiency in all Microsoft programs and ability to quickly learn industry related CRM
Ability to communicate effectively with a wide variety of customers
Demonstration of proficient time management skills
Excellent interpersonal, organizational prioritizing and sound planning and decision-making skills

Primarily office-based with occasional offsite meetings and events.

Performs other duties as assigned, as no position description can encompass all responsibilities associated with the role.
Background Screening will be conducted including but not limited to criminal and driving history, sexual offender history, employment history, educational history.
