Records Specialist
The Records Specialist is responsible for maintaining the accuracy and integrity of records entered into the Texas and National Crime Information Center (TCIC/NCIC) database through monthly validation processes, in compliance with the TCIC/NCIC Operating Manual. This position ensures that all active records are verified, corrected, and certified promptly, supporting operational efficiency and legal compliance. Duties and Responsibilities: Access and review monthly Validation Reports posted by DPS on the TCIC Validation Website. Download and organize validation data using Excel for sorting and filtering. Verify all listed Boat, License Plate, Vehicle/Boat Part, Vehicle, and Gun records against NCIC and TCIC systems for accuracy, as the TCIC Validation Website does not reflect real-time updates. Distribute all missing/wanted persons, protective orders/extreme risk protection orders, violent persons, securities, sex offenders, and article records to their respective departments for monthly validation duties. Perform thorough checks to ensure: Records match active entries. All entered information is accurate and complete. Additional details are included to strengthen the record. Stolen vehicle records are verified by registered owners or insurance companies. Ensure all validations are double-checked by a second party, and discrepancies are corrected promptly. Certify completion of monthly validations on the TCIC Validation Website by the 15th of each month and retain confirmation emails for audit purposes. Communicate with complainants and other stakeholders as needed to resolve discrepancies. Maintain compliance with Texas DPS and agency standards for record accuracy and confidentiality. Provide monthly validation stats for message center-related records. Pass the pre-employment HCSO Records Specialist Test with a minimum overall score of 75% High School Diploma or G.E.D. A minimum of two (2) years of clerical, administrative, or customer service paid work experience in an office environment Must pass the HCSO Clerical Skills Test pre-employment testing with a minimum overall score of 75% and score a typing speed of 35 w.p.m with 85% accuracy (additional testing may be required) Pass the pre-employment HCSO Records Specialist Test with a minimum overall score of 75% Must have TCIC/NCIC Full Operator Access Knowledge Of: Openfox, JWEB, CAD/RMS Must have a working knowledge of Microsoft Office Skilled in: Excellent reading and writing skills Written and verbal communication Display flexibility to perform any task assigned by a supervisor with minimal supervision Ability to: Effectively communicate, answer telephones, and respond to electronic mail, take messages, and provide information in a concise manner Work cooperatively with others Be available for any shift assignment Present a professional image Preferences
