This is a
combined Senior Level Executive Assistant + Personal Assistant role
supporting the CEO (Scott Anthony Barlow), COO (to-be-hired), and team members.
This is
not
a conventional assistant role. You are a
strategic force multiplier
whose primary job is to protect leadership focus, remove friction, anticipate needs, and keep the business moving forward during rapid growth.
Over the next year, this role will
increase its emphasis on Personal Assistant responsibilities , while continuing to serve as a
Senior Level Executive Assistant
in a fast-changing organization.

Required Experience & Skills
7+ years supporting a C-level or senior executive (ideally a company owner).
2+ years of 100% remote executive support.
Experience in startups or fast-growing organizations.
Comfortable handling 100+ emails/messages per day.
Self-starter able to work independently with minimal oversight.
High discretion and confidentiality.
Proficiency with Slack, Google Workspace, video conferencing, WordPress.
Experience in SuperHuman a plus.
Strong judgment, organization, and prioritization skills.
Strong written American English.

Work Structure & Expectations
40 hours per week.
Retainer-style engagement with variable weekly hours.
Core availability during PST hours (8am–6pm), with flexibility in how and when work is completed across the week.
Occasional weekend availability to support travel / projects.
Support includes CEO + COO as the organization scales.
Fully remote.

I want to minimize the niceties and pleasantries back and forth in exchanges on Slack and email and touch points. I appreciate you immensely and us spending extra time saying thanks back and forth is extra time that could be used on moving our mission forward to help more people.
I want you to acknowledge that you got something on Slack (choose an icon that you like to use) no need for responding unless it requires a further response. That’s also time I could be spending elsewhere. I want to trust that you’ve got it, and will take care of it according to the values in our company.

I don’t just work during the week. I want to shift more of my time to during the week, however if I’m planning on working a weekend or at a speaking engagement or traveling, I will need you to be available by text, slack or email at certain times.
If I’m not getting something done that you know is important I need your help to make it easier. Ex. If someone needs something via email but I can’t get to it or things are stacking up I want you to read the email and get them an answer (as yourself) or read through everything and ask the exact question they need to know in our touchpoint to get an answer from me.
I want you reviewing my email and folders every day. If I need to see something from you let’s make sure it’s in our touchpoint.
I need you to act as an ambassador to the company by making sure that you’re using the verbiage that I use and choosing to use that with others in our community and on our team. Also by role modeling our values at every step.

Own and ruthlessly protect the CEO’s calendar and priorities—anticipating what matters most so leadership can focus on high-leverage work.
Remove tasks, projects, and decisions from leadership before they even notice, allowing them to focus on content creation, strategy, and growth. You love delighting others by keeping their work smooth and efficient.
Draft and manage emails, business documents, contracts, and communications—accurate, thoughtful, and proactive. You enjoy getting the details right because you know they matter.
Represent the CEO and company externally—calmly, professionally, and with the company voice. You’re diplomatic, tactful, and discreet with confidential information.
Coordinate contracts, agreements, and records. You find solutions, troubleshoot issues, and make things happen without being told.
Prepare daily agendas and weekly leadership updates, anticipating what the team will need before it’s asked for. You love being organized and proactive.
Act as gatekeeper and ambassador for the company, smoothing chaos and amplifying the executive’s effectiveness. You thrive behind the scenes, making missions possible.
Support the COO with execution and follow-through across key initiatives, providing clarity and removing friction wherever it arises. You enjoy wearing many hats and jumping in wherever you’re needed.
Personal Assistant (Company Owners)
Manage business and personal travel, orders, subscriptions, and gifts—attention to detail and proactive problem-solving is key. You enjoy delighting others in ways they don’t even notice at first.
Handle personal tasks that free up executive focus, knowing when to step in, step up, or step back. You love anticipating needs and quietly making life easier.
Serve as the trusted first line of contact, thinking five steps ahead to prevent issues before they happen. You thrive in fast-paced, high‑pressure environments.
Customer Support & Community
Own Hubspot Help Desk and client issue resolution. You are resourceful, calm under pressure, and capable of delivering solutions without constant oversight.
Respond to tickets, emails, and LiveChat during launches and key moments—your ability to learn fast and apply knowledge ensures clients feel supported.
Ensure clients have access to materials, coaches, and resources, proactively checking on their success and creating smooth experiences.
Leadership, Operations & Growth Support
Document and maintain SOPs, ensuring workflows are scalable, clear, and efficient. You get excited when you can improve systems and make processes better.
Prepare weekly updates and leadership materials, ensuring clarity and focus across the team. You’re a master at seeing the big picture while managing details.
Assist with onboarding, certification, and administrative logistics for the CR team (coaches). You enjoy building systems that help others succeed.
