Job Summary The RFP Analyst will own and coordinate the creation of accurate, compliant, compelling, and client-focused responses to RFPs, RFIs, and RFQs. This role blends project management, technology skills, and strong writing and editing to ensure timely, high-quality submissions that support revenue growth in the healthcare technology space.

Collaborates with cross-functional teams and subject matter experts to gather and verify details needed for proposals. Writes, edits and organizes content to ensure clarity, accuracy, and alignment with the organization’s capabilities and branding, often customizing responses for unique inquiries. A strong focus on leveraging AI and emerging technologies to drive efficiency will also be impactful for this role. The successful candidate will bring healthcare technology experience and be adept at translating technical solutions into persuasive, client-ready messaging.

Qualifications - Education, Experience and Skills Education : Bachelor’s degree in Communications, English, Marketing, Business Administration, or related field, required.

Experience : 2-4 years of experience in proposal management, marketing writing, or related role, required. Preference will be given to candidates with clearinghouse, health information exchange or healthcare technology experience.

Skills and Abilities :

Advanced proficiency in productivity and proposal technologies, including MS Office 365, Google Docs, Salesforce CRM, Adobe Acrobat/Writer, Canva, and RFP management platforms such as Loopio, Responsive, or Qvidian.

Strong proposal management expertise, including content curation, database management, branding compliance, and end-to-end coordination of complex, deadline-driven deliverables.

Exceptional writing, editing, and organizational skills with the ability to translate technical and business information into clear, compelling, and compliant responses.

Demonstrated experience leveraging AI tools and automation to enhance content quality, streamline workflows, improve efficiency, and support data-driven proposal development.

Proven ability to manage timelines, prioritize competing deadlines, and coordinate cross-functional stakeholders at multiple levels of the organization.

Strong problem-solving, process improvement, and project coordination capabilities with a focus on continuous improvement and operational efficiency.

Collaborative, curious, and innovation-minded professional with a strong attention to detail and commitment to high-quality outcomes.

Mental and Physical Requirements:

Ability to focus for extended periods while writing, reviewing, and coordinating detailed proposal materials.

Capacity to manage multiple deadlines, shifting priorities, and cross-functional inputs in a fast-paced environment.

Strong written and verbal communication skills for collaboration with internal stakeholders and partners.

Primarily sedentary role requiring regular use of a computer and standard office equipment.

Ability to read from a computer screen and occasionally lift or move proposal materials (up to approximately 15–25 pounds).

Job Responsibilities & Duties

Lead and manage the end-to-end lifecycle of Requests for Proposal (RFPs), Requests for Information (RFIs), and Requests for Quotes (RFQs), from intake and requirements analysis through final submission and delivery.

Serve as the central project manager for assigned proposals, establishing timelines, coordinating deliverables, managing risks, and ensuring on-time, high-quality submissions.

Collaborate with subject matter experts across Sales, Marketing, Product Management, Security, Legal, and other stakeholders to gather accurate, compelling, and compliant technical and business content.

Write, edit, and optimize proposal responses to clearly address client requirements, highlight differentiators, and align with organizational value propositions.

Ensure all proposal materials adhere to corporate branding, tone, messaging, and quality standards.

Facilitate internal review cycles, incorporating feedback and securing required approvals prior to submission.

Maintain, organize, and continuously improve the proposal content library, ensuring content is current, searchable, compliant, and reusable.

Leverage AI tools and automation technologies to improve proposal quality, consistency, and turnaround time.

Assist in the implementation, configuration, and ongoing adoption of proposal management platforms (e.g., Responsive), supporting scalable and efficient proposal operations.

Identify and implement process improvements to enhance efficiency, content reuse, data integrity, and cross-functional collaboration.

Coordinate final production and delivery of proposals, including digital submissions and physical materials such as hardcopy binders, as required.

The pay range for this role is: 72,000 - 83,000 USD per year (Hybrid (Salt Lake City, Utah, US))
