Department & Purpose Development, Marketing and Community Engagement
Responsible for increasing awareness of organization’s mission, brand, and services/programs among current and potential stakeholders (e.g., clients, donors, volunteers, employees, etc.); gains understanding of diverse audiences, creates relevant and compelling messaging and delivers that messaging through a variety of communication channels

Summary Development and Marketing Administrator is responsible for a variety of departmental administrative tasks, including scheduling, meeting minutes, departmental calendars, CRM database and communication platform management, website updates and quality oversight. This includes that all data is accurate, secure and systems are updated. This role drives the successful achievement of LADD’s Development and Marketing goals through technical data management and superior administrative supports.
Essential Functions
Database and Communication System Management
Stays up to date with database capabilities and functions
Maintains accurate and up-to-date donor and volunteer profiles in database
Works with Data Clerk to ensure gift entry and acknowledgement is completed in a timely and accurate manner
Regularly initiates clean-up projects as needed to ensure data integrity
Works cross departmentally to ensure a schedule of communication systems updates is maintained
Maintains and generates donor mailing lists as needed for events and direct mail campaigns
Calendar management
In partnership with Content Specialist and CDO researches appropriate grant opportunities, maintains grant tracker pipeline, and facilitates timely grant reports
In partnership with Content Specialist and Director of Development, Marketing and Community Engagement manages and maintains calendar for print, electronic, social media assets
Creates and implements timeline for website maintenance and updates
Departmental Administrative Support
Organizes and schedules meetings and appointments
Plans internal meetings and takes minutes at board level committee meetings
Assists with preparation of reports as requested
Maintains high level of confidentiality and handles sensitive information with appropriate discretion
Additional Responsibilities
Models The LADD Way (TLW) and ensures performance is aligned with TLW and the solicitation policies and practices set for the department
Serves as an advocate for the organization’s mission and programs in the community (e.g., attends events, participates in PR opportunities, etc.)
Supports others in the department on an as needed basis
Assists with special events and special projects as necessary
Keeps up-to-date on all relevant training and certifications
Education/Skills & Experience
Bachelor's degree with one (1) year experience; OR- Associate's degree with three (3) years’ experience; OR- five (5) years’ experience. Experience must be in high-level administrative support
Exceptional attention to detail, highly organized, and ability to prioritize and keep track of multiple projects
Ability to collaborate and communicate effectively with diverse groups of people
Database management experience
Excellent computer knowledge and skills using Microsoft Office suite and other relevant software and application platforms
Work Environment & Physical Demands
Work schedule will normally be Monday through Friday and may include weekends and/or evenings
Job will include being in an office environment as well as remote sites; and will require travel to other locations
