Description Kentucky Derby Museum is a 501(c)(3) non‑profit charitable organization that sits on the front steps of historic Churchill Downs Racetrack. It is one of the premiere attractions in the Louisville region, celebrating the tradition, history, hospitality and pride of the world‑renowned event that is the Kentucky Derby. The Museum welcomes over 258,000 visitors annually; a large percentage of those visitors come from outside of Kentucky, journeying from across the country and the world.

Position Purpose The primary purpose for this position is to provide support to all aspects of the customer experience within the Kentucky Derby Museum retail sales channels. The Retail Specialist will have a strong focus on processing online and corporate orders, while also serving as a flexible resource to support the sales floor and inventory operations. When eCommerce duties are complete, the Retail Specialist is expected to proactively assist in other areas to ensure smooth retail operations. The Retail Specialist reports to the Retail Sales Manager and has no direct supervisory responsibilities.

Essential Functions / Accountabilities

Fulfills online, Corporate, and Gift Guide orders, including pulling stock, processing payment through a POS system, and shipping orders using the store’s shipper program.

Processes eCommerce end‑of‑day reports for Accounting.

Packs and ships all retail orders in a manner that ensures safe & timely transportation.

Assists the Retail Sales Manager and Retail Sales Assistant Manager on reviewing and responding to all e‑mails, phone messages, letters, and other correspondence directed to the retail stores and eCommerce site.

Assists other departments with shipping needs.

Displays product knowledge of store merchandise, and stays familiar with all incoming and new products.

Supports the sales floor by engaging customers, assisting with merchandise selection, restocking shelves, and ringing transactions. Assists with merchandising, cleaning, and maintaining store presentation standards.

Partners with the Inventory team to help with cycle counts, stockroom organization, tagging, and product preparation.

Assists Retail Sales Associates with opening/closing the store, following proper procedures documented on the opening and closing checklist.

Assists with special projects as assigned by the Retail Sales Manager, Retail Inventory Manager, and Database Coordinator, including daily tasks.

Works with the Retail Sales Manager, Database Coordinator, and Senior Director of Retail Operations on Gift Guide development.

Abides by the Retail Department’s documented Policies and Procedures.

Requirements Minimum Qualifications

Highschool diploma or equivalent.

Minimum one (1) year retail or eCommerce experience required.

Ability to stand for long periods of time, quickly walk up and down stairs to restock product.

Familiarity with computer programs such as Microsoft Word & Excel

Must be able to sufficiently pass a criminal background check.

Must be able to handle stress and pressure of high‑volume sales and visitors while giving great customer service.

Must be available to work Derby Week, including but not limited to, Opening Night thru Sunday of Derby weekend; Racing Meets; and Annual Physical Inventory.

Must be available to work during the week of FFA and Breeders Cup.

Work Schedule

Approximately 40 hours per week, hours may vary (open all days of the week).

Mandatory overtime and flexible scheduling during the week leading up and including the Kentucky Derby.

Longer hours are necessary during peak seasons such as Spring Meet, Derby Week, September Meet, Fall Meet, Breeders Cup, End of Year Inventory, FFA, etc. in addition to quarterly staff meetings which occur outside of operating hours.

Working Conditions While performing the duties of this position, the employee is regularly required to stand for long periods of time, walk, climb stairs, and move merchandise around. This individual will be required to lift packages up to 50lbs. The employee is required to have non‑standard workday hours during the spring and fall sessions. All indoor spaces are air‑conditioned, although some job duties may take place outside, on the loading dock or in another non‑climate‑controlled space.

While performing the duties of this job, the employee is regularly exposed to a crowded work area. To perform this job successfully, an individual must be able to navigate a crowded area and handle a challenging workload.

All employees of the Museum are employed on an at‑will basis. This means that the Museum retains the right to terminate any employee at any time, for any reason, with or without notice. Conversely, employees are free to terminate their relationship with the Museum at any time; however, the Museum would appreciate it if employee would provide at least a two‑week notice as a courtesy.
