You will be the gatekeeper and the gateway. You will know what I need before I know I need it. If I am the engine of the company, you are the oil that keeps the machine running without friction. This is not a 9-to-5 administrative role; it is a lifestyle role for a career Executive Assistant who thrives on high-stakes problem solving and total integration with the executive they support.

Core Responsibilities Professional Operations
Inbox & Calendar Triage:
Aggressively manage a chaotic inbox and calendar. You are not just accepting invites; you are protecting my time. You ensure I have prep time before meetings and buffer time after.
Meeting Preparation:
Brief me before calls. Who is this? Why are we meeting? What is the desired outcome?
Travel Logistics:
Complex domestic and international travel. Commercial or private aviation, car services, and precise itineraries. If a flight is cancelled, you have a backup solution ready before I land.
Stakeholder Management:
Act as the primary point of contact for internal and external stakeholders. You represent my voice when I am not in the room.
Personal & Lifestyle Management
Financial Administration:
Managing personal bill payments, expenses, and interfacing with accountants.
Life Engineering:
Arranging medical appointments, car maintenance, reservations, and family logistics.
Gifting & Relationships:
maintaining a CRM of important dates (birthdays, anniversaries) and executing thoughtful gifting strategies.
The Requirements (Non-Negotiable)
Experience:
Minimum 5+ years of experience supporting C‑Suite Executives or Founders in a high‑growth environment.
Speed:
Typing speed of 75+ WPM. (This will be tested).
Tech Stack:
Mastery of Microsoft Office (Excel, Word, PowerPoint) and modern communication tools (Slack, Zoom, etc.).
Location:
Must be based in the US/Puerto Rico (for time zone alignment and logistical understanding).
Availability:
Must be willing to work flexible hours, including responding to urgent matters on weekends or evenings.
