Job Description and Responsibilities

The Marketing Coordinator reports directly to the Director of Marketing & Branding and indirectly to the Senior Vice President tasked with overseeing the marketing department. This role supports the execution of RTG’s marketing operations, ensuring projects, conferences, and internal initiatives are well-organized, on schedule, and executed with precision. The ideal candidate is detail-oriented, proactive, and highly organized, capable of managing multiple priorities across marketing, business development, and internal events. This position requires strong communication and coordination skills, as well as the ability to anticipate needs and maintain alignment across teams. Oversee all conference coordination and logistics, including reviewing prospectuses, managing registrations, scheduling meetings, managing promotional inventory and coordinating shipping and returns with vendors. Manage company store operations, including vendor coordination, inventory, and fulfillment for employee onboarding boxes, swag orders, client gifts, and event giveaways. Coordinate production and distribution of business cards for new hires, as well as marketing materials for all offices. Process purchase orders (POs) and invoices for marketing and event-related expenses, ensuring accurate tracking and approval. Maintain and update staff resumes to ensure consistency throughout marketing materials. Pull HubSpot Hotlists following outbound campaigns and compile engagement insights for leadership and business development teams. Support the exploration and future use of AI and automation tools (including ChatGPT) to assist with content development and marketing efficiencies, following established processes and guidance. Maintain RTG’s master marketing and distribution calendar, including campaign launches, press releases, blogs, and social posts. Maintain and update Trello boards to track all marketing projects, ensuring deadlines are met and team members stay on schedule. Manage scheduling and calendar coordination for the marketing team, including internal and external meetings. Maintain RTG’s shared marketing files, templates, and collateral to ensure easy access to current and approved materials. Assist with the drafting of RTG’s thought leadership content, announcements, and promotional materials. Provide support to RTG and its service lines as directed by RTG management. Competencies

Familiarity with CRM systems (HubSpot preferred) and social media platforms (LinkedIn). Education And Experience

Bachelor’s degree in Marketing, Communications, Journalism, English, Business Administration, or a related field preferred. 1–3 years of experience in marketing coordination, event management, or administrative support. Experience with project management tools (Trello or similar) and marketing platforms (HubSpot, social media, basic analytics). Proficiency in Microsoft Office Suite; familiarity with Adobe Creative Suite is a plus but not required. Prior experience in a professional services or healthcare setting is preferred but not mandatory. Allocation Of Time

Marketing Support – 90% Business / Client Support / Production – 5% Administrative – 5% Travel typically not required, except to visit RTG regional offices as needed for training, teambuilding, or other specific initiatives. Benefits
