The Opportunity The Marketing Administrative Coordinator provides comprehensive administrative support to the marketing franchise, with a primary focus on assisting Senior Director-level leaders and above. Core responsibilities include managing calendars, coordinating meetings, booking travel, and preparing expense reports to ensure seamless daily operations. The role also involves organizing team events, supporting field advisory board meetings, and preparing materials for key gatherings. Secondary duties include support for marketing projects such as print management, inventory allocations, and launch activities, and collaboration with the Purchase Order Coordinator on vendor setup, third-party statements of work, and purchase order processing. While project coordination is part of the role, the primary emphasis is on delivering high‑quality administrative support to the marketing leadership team.

Administrative Responsibilities (Primary)

Prepare expense reports and support travel bookings for Senior Directors and above as required.

Plan and manage calendars, including coordination of complex meetings and events (meeting rooms, guest registration, materials, A/V, presentations, and catering if needed).

Collaborate with Facilities Management, IT, and Human Resources to organize new hire setup (equipment ordering, workspace arrangements, and communications with managers to ensure a smooth start).

Project-Related Responsibilities (Secondary)

Assist in managing and executing ad hoc projects, prioritizing tasks and ensuring timely completion.

Provide regular project updates to key stakeholders and proactively address issues or obstacles.

Maintain project documentation, including plans, status reports, and post-project evaluations.

Support the Purchase Order Coordinator in developing Statements of Work (SOWs) and PO creation.

Facilitate cross-department communication to ensure alignment and collaboration.

Your Experience And Qualifications Any equivalent combination of education, training, and/or experience that fulfills the requirements will be considered.

Education/Certification/Experience

High school degree required; bachelor’s degree preferred.

Minimum 1 year experience in a fast-paced business environment.

Project management experience required.

Budget support experience preferred.

Previous administrative experience supporting senior leadership or marketing leadership preferred.

1 year of pharmaceutical environment experience desirable.

Experience with SharePoint, Microsoft Office suite; SAP and ADP familiarity a plus.

Skills/Knowledge/Abilities

Proficient in MS Word, PowerPoint, OneNote, Excel, and Outlook.

Strong proficiency in SAP and Concur expense system.

Excellent verbal and written communication, organizational, and interpersonal skills with meticulous attention to detail.

Ability to meet deadlines in a fast-paced environment and work effectively both independently and as a team player.

Experience with meeting coordination and planning preferred.

Travel Requirements Approximately 5–10% travel within the US.

Physical Requirements

Sitting for extended periods at a workstation or with mobile equipment.

Visual tasks including extensive computer work, data preparation, and reading.

Working Environment

May require wearing PPE on site visits (e.g., safety glasses, hearing protection, gloves).

Compensation The annual starting salary for this position is $73,760–$96,810. Starting salary may vary based on geography, skills, experience, and other qualifications.
