Naik Consulting Group is seeking a highly organized and detail-oriented Proposal Coordinator with 3+ years of experience supporting buildings, infrastructure and transportation pursuits within the AEC industry. This role is integral to our business development efforts and works closely with technical staff, marketing, and leadership to develop compliant, compelling, and high-quality proposals.
The ideal candidate has hands-on experience coordinating complex RFQs/RFPs for public-sector buildings, transportation and infrastructure clients and thrives in a fast-paced, deadline-driven environment.
Responsibilities
Coordinate and manage the end-to-end proposal development process for RFQs, RFPs, and SOQs related to buildings, transportation and infrastructure projects
Develop proposal schedules, compliance matrices, and content outlines to ensure all requirements are met
Collaborate with technical teams, project managers, and subconsultants to gather and organize proposal content
Edit, format, and proofread proposal documents for clarity, consistency, and compliance
Maintain proposal templates, resumes, project descriptions, and other marketing collateral
Support pursuit strategy meetings, kickoff meetings, and proposal reviews
Ensure brand, messaging, and quality standards are consistently applied
Assist with post-submittal activities and proposal debriefs as needed
Qualifications
3+ years of proposal coordination experience in the AEC industry, with a focus on buildings, infrastructure and/or transportation pursuits
Proven experience responding to public-sector RFQs/RFPs (buildings, DOTs, transit agencies, municipalities, etc.)
Strong organizational and time-management skills with the ability to manage multiple deadlines
Exceptional written, editing, and proofreading skills
Proficiency in Microsoft Office (Word, PowerPoint, Excel); experience with Adobe InDesign strongly preferred
Ability to work collaboratively with diverse technical teams and stakeholders
Preferred Qualifications
Experience with major transportation pursuits (buildings, highways, bridges, rail, transit, aviation, or multimodal)
Familiarity with CRM and proposal management systems (e.g., Deltek Vantagepoint, Unanet, or similar)
Understanding of AEC branding, proposal best practices, and pursuit strategy development
