The Manager of Alumni and Donor Relations is responsible for advancing Bucks County Community College's alumni engagement strategy and ensuring high-quality stewardship of donors through thoughtful communications, recognition, reporting, and relationship management. Position Summary
The Manager of Alumni and Donor Relations is responsible for advancing Bucks County Community College's alumni engagement strategy and ensuring high-quality stewardship of donors through thoughtful communications, recognition, reporting, and relationship management. This role builds meaningful connections between alumni, donors, and the College while serving as the functional owner of stewardship strategy and advancement services oversight.
Essential Duties & Responsibilities
Alumni Relations & Engagement
Develop, implement, and assess comprehensive alumni engagement strategies aligned with institutional priorities. Serve as the primary liaison to the Alumni Council, providing strategic guidance, administrative coordination, and alignment with College goals. Recruit, support, and steward alumni volunteers for councils, committees, events, and engagement initiatives. Coordinate alumni participation in institutional events, including Commencement, Open Houses, alumni networking events, career panels and mentoring, campus celebrations and other College or Alumni events that may be planned. Plan, implement, and evaluate the impact of alumni events Represent the College at alumni and community events as appropriate. Alumni Communications & Marketing Collaboration
Coordinate alumni communications, including newsletters, digital outreach, event promotion, and alumni storytelling. Partner with Marketing and Advancement colleagues to ensure consistent messaging, branding, and engagement cadence. Contribute alumni and donor engagement content that reinforces institutional pride and connection. Donor Stewardship & Recognition
Develop and manage donor stewardship strategies that promote donor confidence, appreciation, and long-term engagement. Oversee all donor acknowledgment communications, including thank-you letters, tribute and memorial gifts, thank you videos, and personalized correspondence, in accordance with policies and acknowledgment matrices. Manage condolence letters and memorial communications with accuracy, sensitivity, and timeliness. Coordinate donor recognition initiatives and giving society benefits in collaboration with the Manager of Annual Giving. Support stewardship activities for major, deferred (planned) endowed, and leadership-level donors in partnership with frontline gift officers. Endowed & Restricted Fund Stewardship
Coordinate the preparation and distribution of annual endowed and restricted fund reports. Partner with Financial Aid, Academic Affairs, and Finance to ensure donor funds are used in compliance with donor intent. Support the development of individualized donor impact reports highlighting student outcomes and institutional impact. Advancement Services Oversight & Reporting
Provide functional oversight and quality assurance for gift processing and advancement services workflows. Review gift batches and reports for accuracy, completeness, and compliance. Produce and distribute weekly gift reports for the Vice President, President, and senior leadership. Maintain stewardship documentation, donor interaction records, and engagement history within the CRM (currently DonorPerfect). Serve as the primary point of contact for stewardship-related data integrity and reporting questions. Establish and maintain procedures related to acknowledgments, reporting timelines, and donor communications. Planning, Leadership & Continuous Improvement
Develop annual alumni relations and stewardship work plans with measurable benchmarks that is aligned with unit goals. Track and analyze engagement and stewardship metrics; recommend improvements based on data and best practices. Provide functional guidance and training to administrative staff supporting advancement services processes. Collaborate closely with the Manager of Annual Giving, gift officers and other Advancement colleagues, and the appropriate units across the college to ensure a seamless alumni and donor experience. Contribute to division-wide planning and continuous improvement efforts. Required Qualifications
Bachelor's degree required. Minimum of three (3) years of professional experience in alumni relations, donor stewardship, advancement services, or a related field within higher education or nonprofit organizations. Demonstrated experience managing donor communications, alumni engagement, or stewardship initiatives. Strong organizational, writing, editing, and interpersonal communication skills. High attention to detail and demonstrated ability to manage workflows and deadlines. Experience using donor databases or CRM systems; DonorPerfect experience preferred. Ability to work collaboratively across departments and functions. Preferred Qualifications
Experience working with alumni councils, boards, or volunteer leadership groups. Familiarity with endowment and scholarship fund administration. Knowledge of stewardship and alumni engagement best practices in higher education. Working Conditions
Standard office environment. Evening and weekend work required for advancement and alumni and donor events. On-campus presence required five days per week.
Salary Range
$55,660 - $71,153 (commensurate with experience)
