Marketing Operations Specialist Role Overview The Marketing Operations Specialist owns the systems that generate qualified leads for our marketing agency. This position is within our internal marketing team, generating leads for our own business, not for clients. This role sits between our top‑of‑funnel content engine (ads, social, YouTube, podcast) and our sales team, ensuring that traffic converts into sales‑ready opportunities. The Marketing Operations Specialist builds and manages our HubSpot workflows, webinar funnels, email campaigns, and case study library.

This is primarily an operational and technical role, not a creative one. You will build landing pages, automate follow‑up sequences, maintain data hygiene, and ensure every lead is captured, nurtured, and routed to sales correctly. While the focus is on systems and execution, you should be comfortable handling minor creative tasks such as creating simple graphics or writing emails when needed.

Success in this role requires a balance of technical skill (HubSpot, automation tools, WordPress) and operational discipline (clean data, consistent execution, attention to detail). You should be comfortable working independently while collaborating closely with a small team to keep projects moving forward.

Core Responsibilities

Webinar Operations:

Build and manage the complete webinar funnel, including landing pages (WordPress/Elementor), Zoom integration, HubSpot registration flows, email sequences, and live event logistics. Coordinate promotional assets with the team to ensure timely execution.

Marketing Automation:

Architect HubSpot workflows for lead routing, scoring, and nurturing. Use automation tools (Zapier, n8n, or similar) to connect systems and automate complex tasks. Maintain pipeline hygiene, enforce data standards, and create sales enablement assets (templates, sequences, snippets).

Email Marketing:

Build and send weekly newsletters in HubSpot, manage the broadcast calendar, and optimize performance. Copy is often provided, but you should be able to write a clear, effective email when needed.

Social Proof and Case Studies:

Interview successful clients, work with provided content and video to produce case study pages, publish on WordPress using Elementor, and package proof for the Sales team to use in conversations.

Marketing Reporting and Dashboards:

Build and maintain marketing dashboards that tie all activities together across the team. Provide clear visibility into performance across channels, campaigns, and initiatives to inform decision‑making.

Analytics and Reporting:

Monitor performance using Google Analytics (GA4), Search Console, and HubSpot reporting to identify funnel gaps and recommend optimizations.

Requirements Must Have

3+ years of hands‑on HubSpot experience (building workflows, managing lists, setting up automations)

Proficiency with WordPress and Elementor

Experience with automation tools (Zapier, n8n, Make, or similar)

Working knowledge of Google Analytics (GA4) and Search Console

Strong data and reporting skills with the ability to build dashboards and synthesize insights

Strong operational mindset with attention to detail and process enforcement

Solid written communication skills

Ability to create simple graphics and handle minor creative tasks

Nice to Have

Experience with n8n specifically

Webinar funnel experience (Zoom)

Agency or fast‑paced startup background

Schedule

8‑hour shift

Monday to Friday

Hybrid work model: 3 days in‑office, 2 days remote (hybrid schedule starts after the first 90 days of employment)
