About the Role
We are seeking a highly experienced, autonomous, and detail-oriented Director of Operations to oversee all aspects of the real estate lifecycle for a growing family office with a portfolio of hotels and shopping centers. This role goes far beyond administrative support: you will act as the operational backbone of the firm, managing everything from acquisition due diligence to asset management, leasing oversight, vendor coordination, banking, and eventual disposition. You will work directly with the Principal and COO to ensure every stage of the investment and ownership cycle is executed with precision and excellence.
Key Responsibilities
- Lead the coordination and execution of due diligence for property acquisitions, including gathering and reviewing third‑party reports, coordinating with brokers, attorneys, lenders, and consultants.
- Manage timelines and closing checklists to ensure seamless execution of real‑estate closings.
- Liaise with escrow officers, title reps, legal teams, and sellers to facilitate closings.
Asset Management and Operations
- Oversee day‑to‑day operational performance across hospitality, retail, and other commercial assets.
- Serve as the primary point of contact for third‑party operators, property managers, and key vendors.
- Review and monitor property‑level financials, budgets, forecasts, and operating metrics.
- Coordinate capital projects, renovations, and ongoing maintenance with contractors and consultants.
Retail
- Act as the primary point of contact for retail tenants, property managers, and leasing brokers.
- Oversee retail property operations to ensure performance aligns with ownership objectives and underwriting assumptions.
- Monitor rent collections, tenant sales reports, co‑tenancy compliance, and lease obligations.
- Coordinate lease renewals, amendments, and tenant improvements in collaboration with leasing brokers and legal counsel.
- Review and manage CAM reconciliations, expense recoveries, and operating budgets.
- Oversee capital projects, maintenance, and vendor performance to protect asset value and tenant relationships.
Hospitality
- Act as the primary liaison with hotel brands and franchise operators (Hilton, Marriott, IHG, etc.) to ensure compliance with franchise agreements and brand standards.
- Oversee hotel‑level management teams and third‑party operators, ensuring performance aligns with ownership goals and investment returns.
- Review and monitor P&L statements, STR reports, franchise audits, guest satisfaction scores, and labor/operating efficiencies.
- Support and oversee F&B operations, liquor licensing, and hotel‑specific compliance requirements.
- Manage capital expenditure projects, including property improvement plans (PIPs), renovations, and brand‑driven upgrades.
- Evaluate operational performance and recommend strategies for RevPAR growth, cost optimization, and guest experience improvement.
Property Onboarding & Management
- Serve as the point of contact for all operational onboarding of newly acquired assets.
- Set up property‑level systems for insurance, utilities, tax payments, vendor contracts, and compliance.
- Oversee third‑party property managers and ensure alignment with ownership’s goals.
- Coordinate ongoing capex projects and repairs with contractors and architects.
Leasing & Asset Oversight
- Work closely with leasing brokers to track leads, LOIs, lease negotiations, and tenant improvements.
- Maintain accurate lease abstracts, rent rolls, and renewal calendars.
- Monitor property performance metrics and assist in preparing monthly and annual reporting, including P&L oversight and budget tracking.
Administrative, Financial & Banking Operations
- Manage all operational and legal documentation, including service agreements, vendor contracts, and insurance policies.
- Track property tax deadlines, insurance renewals, compliance filings, and permitting.
- Assist with lender reporting requirements and maintain relationships with loan servicers.
- Set up and manage bank accounts, handle banking‑related tasks, and coordinate with accountants and finance teams.
- Serve as the liaison with all third parties, including franchise brands, lenders, attorneys, consultants, and city officials.
Legal Coordination
- Coordinate with internal and external legal teams on matters related to contracts, compliance, leasing, entity management, and disputes.
- Ensure legal documents are properly reviewed, executed, and stored.
- Track critical legal deadlines and support the legal team with document preparation and organization tasks.
Disposition Support
- Prepare assets for sale, including updating marketing materials, coordinating with listing brokers, managing estoppels, and supporting closing logistics.
Qualifications
- Minimum 10+ years of experience in real estate operations, asset management, or property management.
- Minimum 5+ years of experience in property management or asset management of hotels.
- Deep understanding of the real estate lifecycle from acquisition through disposition.
- Experience managing hotel and/or retail properties preferred.
- Excellent project management skills with a proven ability to manage competing priorities in a fast‑paced environment.
- High‑level proficiency in Excel and document organization tools.
- Strong communication and interpersonal skills; comfortable working with senior leadership, legal counsel, brokers, contractors, franchise brands, and third‑party vendors.
- Proactive, independent, and capable of "owning" tasks through completion.
Compensation
$180,000 base salary + bonus + benefits.
