Job Responsibilities
Code invoices according to budget for property manager’s approval and ensure prompt and accurate completion of vendor contracts in contract administration software. Reviews tenant delinquencies and contacts tenants regarding delinquencies. Draft tenant communication and lease communications such as commencement date letters and default notices. Prepare and coordinate bid proposals, service contracts and approved invoices. Assist in bidding process and support property manager to ensure compliance with policies and procedures. Track and file vendor contracts and insurance certificates; maintain follow-up system for expirations and monitor and maintain the property maintenance work order system. Maintain lease, contract, and operational files within the property management office. Promote and foster positive relationships with tenants and owners. Process maintenance staff hours, tenant bill back invoices through accounting, expense reports, monthly meter readings of properties, and check requests for review and approval. Manage all tenant requests by inputting into work order software and ensuring timely completion by engineer or vendor. Partner with property manager to resolve tenant problems and communicate action plan for resolution, building relationships that create tenant satisfaction specific to the property and to ensure tenants comply and fully understand building operating policies. Assists in handling any emergency that may arise with building, property, tenants or ownership. Provide full administrative support, including phone support, typing reports, filing, and distribution or correspondence. Schedule and coordinate meetings/special events as requested. Conducts property inspections and schedules routine maintenance and repair work orders to ensure the building is always in high operational condition. Updates monthly financial information for Accounting including accruals, capital expenditures, and aged receivables. Assist in the creation of annual operating plan for each building and subsequent reforecasting, as necessary. This position will support property management in both the Houston and Dallas markets and will include up to 15% travel to properties. Qualifications
Education
High School Diploma or GED equivalent – Required Bachelors Degree with an emphasis in real estate or business – Preferred Experience
2+ years in commercial property management – Required Skills
Strong organizational skills Excellent verbal and written communication skills Multi-tasking ability Basic understanding of commercial property mechanical systems (Elevators, HVAC, Fire Alarm, etc.) General knowledge of accounting principles and ability to read ledgers and income statements Compensation: $65,000 - $68,000 / year Eligible for discretionary benefits: annual performance bonus target 10% Eligible for standard employee benefits: Medical, Dental, Vision, 401k, FSA, HSA, Commuter Benefits, Employee Assistance Program, Life Insurance (employee and dependents), Short-term disability (STD), Long-term disability (LTD), Accidental death & dismemberment (AD&D), vacation days, sick days, and other benefits Disclaimer
