Associate Director of Advancement Operations (Boston, MA) The Winsor School is an independent girls’ school that values academic excellence, inclusivity, and community engagement. Position Summary The Associate Director of Advancement Operations is a key operational and strategic partner within the Advancement Office. This role ensures accurate and timely gift processing, strong data integrity, and reliable reporting to support fundraising strategy, stewardship, and leadership decision‑making.

Key Responsibilities Gift Processing and Acknowledgements

Ensure a positive donor experience through accurate, timely gift processing and acknowledgements.

Record all donations, pledges, and pledge payments in the donor database.

Maintain and follow established gift entry and acknowledgement procedures, and audit for accuracy and consistency as needed.

Ensure a seamless integration and transfer of transactions from giving platforms such as Blackbaud Merchant Services, WILD, GiveCampus, and Almabase, working within established protocols and in collaboration with relevant colleagues.

Serve as a service‑oriented point of contact for donation inquiries, tracking, and acknowledgement‑related questions.

Database Management and Data Integrity

Manage all aspects of advancement‑related data entry, including gift entry methods, imports, and routine updates to constituent records to ensure quality control and data integrity.

Work within Blackbaud Raiser’s Edge NXT to enter, update, and maintain records.

Maximize the functionality of the database and stay current with platform enhancements and evolving best practices.

Serve as a point of contact for Advancement team members regarding database use, functionality, troubleshooting, and reporting needs.

Support the implementation and ongoing management of Almabase, including supporting heavier data oversight during the first year of implementation.

Training and Internal Support

Train and support Advancement team members on established data entry standards, workflows, and best practices to ensure consistency and accuracy across the office.

Provide onboarding support and refresher training as staffing changes occur and as systems evolve.

Reporting and Reconciliation

Run and maintain fundraising reports, queries, and dashboards to support Advancement operations, committee reporting, and leadership updates.

Analyze existing reporting tools and develop new reports/dashboards as needed as fundraising priorities, campaign needs, or leadership expectations evolve.

Work closely with the Finance Office to ensure donation and accounting accuracy and to support reconciliation between fundraising records and accounting records.

Provide regular fundraising updates for meetings and planning purposes (e.g., year‑to‑date, month‑to‑date, event totals, campaign and appeal totals).

Donor Data Analysis

Leverage internal fundraising data to identify trends and support portfolio management, stewardship tracking, and strategic decision‑making.

Partner with Advancement colleagues to help translate reporting into actionable insights.

Donor Communications and Event Support

Create and execute queries and mailing lists to support fundraising appeals, stewardship communications, and other Advancement outreach.

Support event logistics related to advancement data, including event lists, RSVPs, and reporting as needed.

Some after‑hours and/or weekend work may be required to support key Advancement events.

Engage with the Winsor community beyond Advancement initiatives in order to represent the school authentically. Be an active member of the broader Winsor community.

As the needs of the Advancement Office and the School evolve, this role may be required to contribute additional operational and analytical support to Advancement initiatives and broader Winsor priorities as appropriate.

Qualifications and Experience

A belief in allgirls independent school education, understanding of Winsor’s mission, and the ability to represent the school authentically.

Bachelor’s degree preferred, or an equivalent combination of education and experience.

3–5 years of related experience in advancement operations, database administration, fundraising operations, or similar work.

Experience with donor databases or CRMs required; Raiser’s Edge NXT strongly preferred, but transferable experience with platforms such as Salesforce, Bloomerang, DonorPerfect, Veracross, or similar systems is also valued.

Proficiency with Microsoft Office, especially Excel; comfort working with reports, imports, and data hygiene.

Knowledge of gift processing, donor records management, and confidentiality expectations in a nonprofit/school environment.

A solution‑oriented mindset, strong judgment with sensitive information, and strong collaboration and communication skills (plus a sense of humor).

Compensation and Benefits This is a full‑time, benefits‑eligible position with an anticipated salary range of

$75,000–$85,000 , commensurate with experience and qualifications. The role also offers the opportunity to work in a mission‑driven school environment and make a meaningful impact.
