Performs diversified advanced secretarial and administrative functions for Senior Executives and supports event planning and management for MemorialCare Leadership & Physician Academy and Nurse Leadership Academy. Facilitates meeting logistics and calendaring for multiple schedules. Composes communications via email, letters and reports that reflect the executive initiatives, policies, organization, personnel and services. Manages confidential information with discretion and judgment. Demonstrates superior interpersonal and administrative skills. Plans, organizes, executes and manages special events related to all Leadership Academies including retreats, monthly programs and graduations. Identifies venues, negotiates requirements with venue management, coordinates day-of-event details and conducts post-event follow-up. Essential Job Outcomes
Independently researches and compiles data from a variety of sources, evaluates and analyzes data, and prepares detailed information, reports and recommendations. Coordinates a wide range of events and assumes full responsibility with minimal guidance, including scheduling, material preparation, budgeting, catering, facilities and participant scheduling. Attends Board and Executive team meetings as requested. Uses discretion to determine content of minutes. Maintains all confidential files for Boards and Committees. Manages meetings, including coordinating, scheduling and preparing for complex activities within multiple schedules. Screens phone calls and correspondence addressed to the executives, determines appropriate action, and drafts correspondence to reflect the office image, message and tone. Coordinates and organizes the flow of highly sensitive and confidential materials and information. Finds appropriate solutions to problems and suggests alternatives; implements solutions to enable effective change. Establishes and maintains digital and paper filing systems; manages documents and databases with a focus on contract management. Prepares a wide range of materials and reports from source material, including confidential matters. Acts as a liaison with other departments, senior-level external callers, stakeholders and internal contacts, maintaining confidentiality and professionalism. Experience
Minimum 5 years working for a top-level executive in a major department (or equivalent experience), plus office management experience preferred. Advanced expertise in multiple software applications, including Microsoft Office. Education/Licensure/Certification
High School Diploma. College degree preferred.
