Overview The Operations & Portfolio Support Specialist provides operational, accounting, and administrative support for loan and lease portfolios. This role ensures accurate financial processing, compliance with regulations, and effective coordination between portfolio managers, accounting team, customers, and vendors.

Responsibilities

Process accounts payable activities, including vendor invoice review, tracking, and payment submission

Liaison between accounting and outside vendor to ensure accurate sales and use tax amounts are collected

Perform accounts receivable functions such as customer billing, servicing and collection calls, and delinquency reporting

Support loan and lease servicing, including booking, modifying, and maintaining contracts in servicing systems

Process wires and other payment transactions in accordance with banking controls and procedures

Assist with client audit confirmations for loans and leases

Perform loan and lease payoff calculations per terms of legal documentation in coordination with accounting

Conduct UCC searches, filings, continuations, and terminations to ensure proper collateral perfection

Submit, track, and follow up on Landlord Waivers, subordination agreements, and related collateral documentation

Manage escrow disbursements and ensure proper approvals and documentation

Assist Portfolio Managers and Relationship Managers by requesting, organizing, and reviewing borrower documentation

Prepare and complete compliance and regulatory documentation in accordance with bank policies

Respond to and resolve customer, vendor, and internal inquiries professionally and efficiently

Support loan and lease audit requests, internal reviews, and regulatory examinations

Qualifications

Experience in banking operations, loan servicing, and accounting support

Strong understanding of lease and loan servicing processes

Familiarity with vendor management, invoice processing, and payment workflows

Understanding of UCC filings, collateral documentation, and escrow administration

Experience supporting portfolio or relationship management teams

Proficiency in financial systems such as Aspire or similar lease/loan management platforms

Strong attention to detail and ability to manage multiple priorities

Excellent communication skills for interacting with customers, vendors, and internal stakeholders
