To accurately process incoming customer orders for custom crates, pallets, and specialized packaging solutions. You will ensure that all dimensions, material specifications, and shipping requirements are correctly translated into production work. A high level of customer engagement and satisfaction is required for this role and a leading indicator of success in this position.

Skills & Qualifications/Core Competencies

Attention to Detail

– Must be able to spot the difference between 48.5”, 48 ½”, 4’ 1/2” instantly.

Customer Service

– Anticipate and deliver on customer needs and through solutions that demonstrate a deep understanding of the product and the client’s goals.

Basic Math

– Comfortable working with fractions and converting units (feet to inches to cm).

Technical Literacy

– Ability to read basic blueprints or CAD sketches is a major plus.

Multitasking

– Capable of handling a high volume of emails and phone calls in a fast‑paced shop environment.

Software

– Proficiency in Microsoft Excel and standard office software suite. Training on various design systems to include Crate Pro, SketchUp, and Creform Designer.

Team

– Solutions requires a high level of team building, coordination, and function to ensure customer service is held to the highest standard.

Key Responsibilities

Order Processing: Review and input customer orders into the ERP/accounting system (e.g., QuickBooks invoicing, and shop software).

Technical Verification: Double‑check measurements (Length x Width x Height), weight capacities, and material types (e.g., heat‑treated wood for export, plywood, foam lining).

Production Coordination: Generate “cut sheets” or work orders for the shop floor, ensuring crate techs have the exact specs needed for build‑outs.

Communication: Act as the liaison for Sales and Production to clarify ambiguous order details or notify customers of lead‑time changes.

Shipping & Documentation: Prepare shipping labels, Bills of Lading (BOL), and international compliance documents (ISPM‑15 stamps for export).

Inventory Tracking: Monitor stock levels of lumber, hardware, foam, etc. to ensure materials are available for incoming orders.

Key Performance Indicators (KPIs)

Accuracy Rate

– Percentage of orders entered without dimensional or material errors.

Turnaround Time

– Speed from receiving a customer PO to releasing the work order to the shop.

Customer Satisfaction

– Accuracy of shipping documentation to prevent delays. Team Effectiveness

– Effective team collaboration.

Required Qualifications

Experience: Previous high level customer service and 1+ year(s) of related experience preferable but not required.

Education: High school diploma or GED equivalent.

Physical Demands: Prolonged Sitting

– Must be able to remain in a stationary seated position for 90%+ of the workday.

Keyboard & Mouse Usage

– Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer.

Light Lifting

– Occasionally positions or moves office supplies, boxes, or equipment weighing up to 20 lbs. Ability to reach overhead, stoop, or kneel to retrieve files or organize workspace materials.

Work may include exposure to drafts, noise, dust, strong odors, the operation of industrial equipment (e.g., forklifts and motor vehicles); extended periods of standing, walking and bending; and lifting light objects and equipment. Technology used in this occupation: Strong background in computer applications, data input, internal and external professional email etiquette.
