Order Management Specialist
This role requires working from the Vernon Hills, IL office for the first three Wednesdays of each month, with all other days working from home. There are two shifts available: 8 AM - 5 PM CST and 9 AM - 6 PM CST. During month-end, the workload can become intense, and there may be a need to work extra hours. Initially, this is a 90-day assignment with the potential for a full-time role. The department currently has three full-time employees and is bringing on four contractors to manage increased volumes. Qualifications
Minimum of 1 year of experience in Order Management, Order Processing, or Purchase Order Review. Strong proficiency with Microsoft Office, especially Excel and Outlook. High attention to detail and accuracy; ability to manually validate large volumes of PO data. Excellent communication skills and comfort collaborating with cross-functional teams. Ability to multitask, toggle between multiple systems, and work efficiently in a fast-paced environment. Strong organizational and analytical abilities with critical attention to detail. HS Diploma or GED Minimum (Bachelor's Degree preferred if candidate has less experience) This position engages with various levels of internal and external management and customers to resolve departmental issues as required. The role also supports finance and accounting solutions by taking on additional projects as assigned. The Order Management Specialist is responsible for reviewing, validating, and releasing incoming purchase orders (POs) with 100% accuracy, ensuring they meet all SOP, compliance, and account requirements before fulfillment. Key Responsibilities
Purchase Order Review & Release
Manually review incoming purchase orders with a high attention to detail, ensuring compliance with SOPs before release. Validate PO accuracy including amounts, terms, ship-to information, customer match, account number, and PO legitimacy. Confirm POs align with internal orders and all prerequisites before fulfillment, shipping, invoicing, or provisioning. Release validated orders into AS400 or IBA, following a defined, step-by-step process. Partner with credit, sales, and order management teams when issues arise or PO discrepancies require escalation. Cross-Functional Collaboration
Collaborate with internal teams such as Sales, AR, AP, Procurement, Customer Service, and Print Center teams for issue resolution. Work with other departments to maintain accurate corporate data and account history. Order Approvals
Approve purchase orders and lease orders up to $100k in assigned sales segments, including approval of verbal terms up to $100k. Customer & Account Verification
Analyze and verify customer standing before releasing POs. Ensure all appropriate requirements are met before processing or releasing any order. Job Type & Location: This is a Permanent position based out of Libertyville, IL. Pay and Benefits: The pay range for this position is $25.00 - $32.00/hr.
