Position Description
We are seeking a warm, highly responsive, and service-oriented Client Relations Specialist to be a key point of contact for our families and internal team. This role plays a critical part in delivering an exceptional client experience by ensuring clear communication, timely follow-up, and seamless coordination across services.
The ideal candidate genuinely enjoys helping people, is calm and professional in all interactions, and takes pride in being reliable, detail-oriented, and proactive. Reporting directly to the Operations Manager, this position works closely with company leadership and team members to support clients from initial inquiry through ongoing engagement.
Key Responsibilities
Client Experience & Customer Service
Serve as a primary point of contact for prospective and current clients via phone and email Provide warm, knowledgeable, and professional support, ensuring all client inquiries are addressed promptly and thoroughly Build trust with families by listening carefully, anticipating needs, and following through on commitments Communicate clearly and empathetically, especially in time-sensitive or high-stress situations Confirm meetings, consultations, and appointments, ensuring clients and staff feel informed and supported Maintain ongoing communication between clients and staff to ensure continuity of service Administrative Support
Accurately enter and maintain client information, proposals, and account details Track outstanding invoices and assist with client billing inquiries Maintain up-to-date records in the CRM system (Monday.com experience a plus) Answer inbound phone calls and communicate clearly about services and processes Proofread and prepare client-facing communications, reports, and email campaigns Support seasonal webinars and presentations for parents and students, including moderation and follow-up General Expectations
Demonstrate strong multi-tasking skills while maintaining a calm, client-first approach Respond quickly and professionally to all communications Take ownership of tasks and see them through to completion Contribute ideas to improve systems, communication, and overall client satisfaction Qualifications
Education Bachelor's degree Skills/Qualities Prior customer service, client relations, or client-facing experience Excellent written and verbal communication skills Warm, professional, and confident phone presence Strong attention to detail and organizational skills Ability to prioritize and manage multiple client needs simultaneously Consistent follow-up and follow-through Proficiency in Microsoft Word and Excel Experience with Google Workspace and Apple products/applications Ability to work independently in a remote environment Home office setup (computer, phone, reliable internet) Flexibility to attend in-person meetings in West Los Angeles approximately 3-4 times per year Alignment with the company's mission and core values Ideal Candidate
Experience supporting families, students, or clients in education, test prep, or service-based environments Familiarity with standardized testing and/or the college application process CRM experience (Monday.com preferred) Compensation & Additional Details
