CAJE Adult Learning: Program Operations & Marketing Associate Position Overview

The Center for the Advancement of Jewish Education (CAJE) is seeking a highly organized, detail-oriented, and tech-savvy Program Operations & Marketing Associate to support the planning, execution, and promotion of CAJE’s Adult Learning programs and Public Lecture Series. This full-time role is central to ensuring programs run smoothly from initial setup through delivery and follow-up, while also supporting marketing, communications, and participant engagement. Reporting to the Director of Adult Learning, this position is ideal for a proactive, process-driven professional who thrives in a fast-paced, mission-driven environment and is comfortable managing multiple timelines and details simultaneously.

Who We Are CAJE is the educational arm of the Greater Miami Jewish Federation, serving as the central agency for Jewish education across the community. CAJE advances Jewish learning through early childhood education, day schools, congregational education, teen engagement, adult education, and the Miami Jewish Film Festival. The Adult Learning department offers a wide range of online and in-person programs—including classes, salons, and public lectures—and works closely with national partners, faculty, and community organizations to foster meaningful, lifelong Jewish learning throughout Greater Miami.

Key Responsibilities Program Operations (Adult Learning & Public Lectures)

Manage day-to-day logistics for Adult Learning programs, both online and in person

Build and manage semester-based course offerings, including schedules, faculty details, pricing, and registration setup

Coordinate Zoom and in-person program logistics, including links, locations, and session setup

Oversee public lecture operations, including run-of-show planning, speaker support, and on-site execution (approximately 6–8 events per year)

Coordinate venues and vendors for lectures, including AV, catering, room setup, and signage

Marketing, Recruitment & Communications

Support marketing and promotion for Adult Learning programs and public lectures

Create and update promotional materials (Canva required; Photoshop a plus)

Draft and distribute email campaigns and announcements (Constant Contact or similar platforms required)

Support enrollment and recruitment efforts through outreach, including targeted emails and occasional personal calls

Maintain accurate program and participant records

Track registrations, attendance, and reports using Excel and internal systems

Maintain organized digital program files and materials

Process registrations, payments, and financial assistance arrangements

Support faculty payroll submissions and basic income tracking in coordination with finance staff

Faculty & Speaker Coordination

Coordinate logistics for faculty and speakers, including bios, photos, scheduling needs, and rosters

Distribute materials, updates, recordings, and program-related communications as needed

Schedule & Work Structure

Full-time position

Hybrid role with occasional evening and weekend programs

Typically includes 1–2 days per week in the office and/or at program sites

Qualifications Required

Strong technology skills, including proficiency in Microsoft Excel

Proficiency in Microsoft Office (Outlook, Word, PowerPoint)

Experience with email marketing tools (Constant Contact or similar)

Experience creating marketing materials using Canva

Strong communication, organization, and project management skills

Preferred

Experience supporting online programs, virtual events, or educational programming

Familiarity with Zoom, webinar platforms, and registration systems

Experience with CRM or program management databases

Background in nonprofit, education, or Jewish communal work

Education & Experience

Bachelor’s degree or equivalent experience

1–4 years of relevant experience in program operations, administration, marketing, or nonprofit work
