Records Management Specialists maintain public and confidential records from creation to final disposition. Core work emphasizes efficient, accurate management of documents, ensuring compliance with applicable laws, rules, regulations, and security/confidentiality requirements. Essential Functions
Coordinate, manage, retrieve, retain, and dispose records across physical, electronic, digital media. Ensure compliance with laws, policies, and procedures, including security and confidentiality. Review, process, evaluate records for completeness and accuracy, resolve discrepancies. Create, maintain record-keeping systems or logs. Prepare, maintain, implement retention schedules and dispose records per legal requirements. Recommend retention period, storage method, disposal, consulting staff as needed. Use card file, microfiche/microfilm, logs, imaging, and computer software to manage records. Perform office support: correspondence, billing, payment, document creation and merge. Develop and maintain quality control and related records handling procedures. Educate and train staff on proper record-keeping practices and policies. Monitor and evaluate record-keeping systems, recommend improvements. Fulfill public and state agency requests for public records. Qualifications
One year record-keeping experience (physical, electronic, digital). One year document processing experience (review, evaluate, resolve deficiencies, track). One year automated information system experience (enter, update, report). Six months standard computer software/application experience (create documents, spreadsheets, databases). Associate’s degree or higher OR equivalent experience. Benefits
