Intellectual Property Docketing Specialist . In this essential role, you will actively manage patent and trademark deadlines, maintain precise docketing records, and provide valuable support to attorneys who oversee both domestic and international IP portfolios. This is a
hybrid position based in Pittsburgh, PA , offering you a stable work environment, collaborative team dynamics, and the opportunity to engage with complex and sophisticated IP work. Key Responsibilities: Manage crucial deadlines for patent and trademark filings, including formalities, Office Actions, and maintenance fees. Receive and organize correspondence from the USPTO, WIPO, foreign patent offices, and agents into the docketing system. Efficiently distribute incoming communications to the appropriate attorney teams. Generate standard and custom reports for attorneys and firm leadership. Continuously monitor deadlines to assure compliance and accuracy. Evaluate outstanding docket items and collaborate with supervisors to update or adjust matters as necessary. Open, maintain, and close matters within the docketing database. Assist with client intakes, case transfers, and counsel changes due to new client or attorney transitions. Participate in IP practice group meetings and docketing team discussions. Perform various administrative and docketing tasks to support the IP team. Preferred Qualifications: High school diploma required; further education is an asset. Minimum of 3 years of experience in IP docketing or a similar role within a law firm or corporate setting. Strong understanding of U.S. and foreign patent and trademark prosecution processes, including Provisional and Nonprovisional Applications, PCT Applications, and Madrid Protocol Filings. Familiarity with USPTO, WIPO, and other foreign patent/trademark offices. Knowledge of docketing terminology, best practices, and pertinent IP laws. Ability to independently assess priority dates, calculate deadlines, and verify docketing entries. Proficient in IP docketing software, with preference for Patricia; familiarity with Anaqua is a plus. Comfortable using IP office systems such as EFS-Web, Public/Private PAIR, TEAS, and TSDR. Strong computer skills with the capability to manage, analyze, and interpret data. Excellent attention to detail, organizational abilities, and time management skills.
