The Commercial Lines Insurance - Vendor Onboarding Coordinator serves as a
Subject Matter Expert (SME)
supporting vendor onboarding and compliance for Commercial Real Estate and Facilities Operations. This role focuses on
Certificates of Insurance (COI) review, vendor insurance compliance, licensing validation, and onboarding coordination , ensuring all service providers meet statutory, contractual, and internal risk requirements.
The ideal candidate brings strong experience in
commercial property & casualty (P&C) insurance , vendor onboarding, and compliance oversight within regulated environments.
Key Responsibilities
Serve as
SME for Commercial P&C insurance
coverage requirements related to vendor onboarding Review, approve, and validate
Certificates of Insurance (COIs)
submitted by insurance agents for new and renewing vendors Ensure COIs align with statutory requirements, scope of services, and internal standards Translate complex insurance requirements into
clear, actionable documentation , including sample COIs Assist in refining and maintaining
Certificate of Insurance Standards
aligned with industry best practices Act as primary point of contact for
vendor onboarding within the CMMS system (ServiceChannel)
for Corporate Real Estate Coordinate with Facility Management to identify coverage gaps and onboard new vendors Verify vendor
trade and business licenses
by state for compliance and active status Ensure Special Category vendors maintain current insurance, licenses, and certifications Collaborate with
Accounts Payable
to confirm vendor compliance prior to payment processing Support
insurance recovery efforts
for branch facilities and coordinate claim-related activities Act as SME for
claims inquiries and resolution , liaising with adjusters and internal insurance teams Generate reports, dashboards, and analytics related to
vendor compliance and operational risk Support Operations with
Excel-based data analysis, reporting, and tracking Train new associates on Special Category vendor compliance processes and procedures Required Skills & Experience
Required
Certificate of Insurance (COI) Subject Matter Expertise

5+ years Vendor Onboarding or Vendor Management experience

3+ years Working knowledge of
commercial property & casualty insurance Strong understanding of coverage requirements by vendor service type Experience reviewing compliance against statutory and contractual insurance standards Required Systems Experience
CMMS experience
- preferably
ServiceChannel or Fixxbook
(1+ year) Preferred / Additional Skills
Experience supporting
Commercial Real Estate, Facilities, or Branch Operations Ability to
translate insurance concepts
into clear written standards and guidance Experience preparing
compliance reports and dashboards Strong Excel skills for tracking, reporting, and analytics Experience working cross-functionally with Facilities, AP, Risk, and Operations teams Soft Skills
Strong attention to detail and documentation accuracy Ability to communicate insurance concepts clearly to non-insurance stakeholders Strong organizational and prioritization skills Professional judgment and confidence acting as a compliance SME Benefits
