to join our Marketing team and help bring Viscadia’s brand to life through thoughtful, consistent, high-quality experiences. This role is ideal for someone who loves turning plans into polished execution, thrives in a fast-paced professional services environment, and takes pride in the details that make events feel seamless—from timelines and vendor coordination to branded materials, swag, and on-site readiness. You’ll collaborate closely with Marketing leadership, Business Development, and cross-functional teams to support tradeshows, webinars, hosted events, and internal programs—ensuring each touchpoint reflects Viscadia’s tone, design standards, and professional presence in the market. Assist with planning and executing tradeshows, webinars, hosted client events, roundtables, and internal experiences, supporting coordination from planning through post-event follow-up. Coordinate event logistics including timelines, vendor communication, travel needs, shipping, booth materials, registration, catering, and on-site support requirements. Help manage event timelines and deliverables to ensure materials, assets, signage, and resources are completed on schedule. Support the creation, organization, and maintenance of brand assets such as booth signage, presentations, printed collateral, backdrops, tabletop displays, videos, and gift kits. Manage swag sourcing, including researching options, negotiating costs with vendors, coordinating production timelines, tracking inventory, and ensuring promotional items reflect brand standards. Ensure brand consistency across all marketing activities by reviewing swag, copy, visuals, event materials, and digital assets to confirm alignment with Viscadia’s tone, design guidelines, and client expectations. Maintain Viscadia’s inventory of branded assets (booth displays, banners, signage, printed collateral, swag, and gifting supplies), ensuring items are organized, replenished, stored properly, and ready to deploy. Partner with marketing team members to integrate event dates into our social media, email, and broader campaign calendar. Support event promotion by drafting basic copy for email invites, event pages, confirmation communications, and social media posts. Assist Client Development with post-event lead follow-up by documenting leads, coordinating basic updates in HubSpot, and tracking follow-up activities. Maintain and update a running summary of event expenses to support vendor invoicing, cost tracking, budget reporting, and future event planning. Coordinate minor design or content updates for event assets through internal resources or external vendors, ensuring compliance with brand guidelines. Provide general marketing support for tasks that improve organization, maintain brand quality, and streamline execution across channels. Qualifications

2–3 years of experience in marketing, event coordination, brand support, or a related field; B2B experience is a plus. Experience supporting tasks in marketing tools such as HubSpot (e.g., uploading lists, tracking leads, or updating landing pages). Strong organization and time management skills; able to handle multiple logistics details and deadlines simultaneously. Interest in event planning, brand experience, and marketing operations. Excellent communication and interpersonal skills for coordinating across vendors and internal stakeholders. Ability to track event expenses and support follow-up activities that improve planning and reporting. High attention to detail and accountability; comfortable managing multiple moving pieces with accuracy. Collaborative mindset with the confidence to take initiative and support the team where needed.
