The Role This critical support role provides high-level administrative and operational support to the EVP, Co-productions & Distribution, LatAm & USH, while contributing to the broader coordination of Fremantle’s international distribution and sales activities. The Coordinator, Distribution & Sales serves as an organized, proactive, and solutions-oriented partner to senior leadership, supporting sales workflows, distribution operations, and cross-functional communication across Latin America and U.S. Hispanic markets. The ideal candidate is highly reliable, self-motivated, and detail-focused, with strong ownership of their work, excellent prioritization skills, and the ability to maintain accuracy and timeliness in a fast-paced, deadline-driven environment. Bilingual fluency in Spanish and English is required.
Responsibilities
Executive & Administrative Support Manage complex calendars and schedule meetings, screenings, presentations, and calls across multiple time zones. Prepare agendas, take notes, compile meeting summaries, and follow through on action items. Process monthly expense reports for the EVP. Coordinate domestic and international travel, itineraries, and market schedules (MIPCOM, MIPCancun, Content Americas, LA Screenings, Rio2C, etc.). Support planning and logistics for client screenings and special events. Handle sensitive, confidential information, and time critical information with absolute discretion and sound judgement. Balance competing deadlines using sound judgment, clear communication, and strong organizational skills. Distribution, Sales & Market Support Track sales activities and maintain up-to-date client databases, content availability lists, and territory intelligence. Compile ratings/performance data, market insights, and competitive updates for executive briefings. Coordinate with cross-functional teams (Marketing, Rights, Legal, Finance, Acquisitions, Operations, Production) to support sales and distribution initiatives. Schedule pitch sessions and assist with materials including decks, scripts, follow-up tracking, and Spanish-language versions. Create and update sales collateral, presentations, and promotional materials. Monitor social media activity around title launches and competitor releases. Content Delivery, Materials & Operations Coordinate delivery of materials to clients, ensuring technical specifications are met and approvals are secured. Manage requests for customized playlists, screeners, trailers, viewing links, promotional assets, and marketing materials. Track deliveries, asset distribution, and sales progress across operational workflows. Manage logistics for producer consultancies, including travel, workshops, translation, and related invoicing. Maintain distribution trackers, sales grids, calendars, and internal databases accurately and consistently. Document, Contract & Filing Support Draft, route, and track contracts, agreements, and documents through review, signature, and archival. Run rights checks to ensure no conflicts exist. Maintain organized digital and physical filing systems. Prepare pitch decks, ratings summaries, and other sales materials. Organize materials and documentation for markets, screenings, and buyer meetings. Communication & Relationship Management Draft clear, professional correspondence and facilitate communication with internal teams and external partners. Address shifting needs and time-sensitive requests with urgency, professionalism, and thoughtful problem-solving. Other additional duties as assigned. Requirements
Minimum 3 years of relevant entertainment industry experience (television sales, development, production, or distribution); prior EA experience preferred. Fully bilingual in Spanish and English (written and spoken). Strong understanding of the TV/streaming distribution landscape (SVOD, AVOD, FAST, broadcast, cable, international). Proficiency in Microsoft Office (Excel, PowerPoint, Canva, Outlook) and Google Workspace. Familiarity with CRM systems, rights-management tools, and shared-document platforms. Excellent organizational and communication skills with meticulous attention to detail. Demonstrated reliability and follow-through, with the ability to manage high-volume workloads and meet deadlines consistently. Strong initiative, problem-solving ability, and a willingness to take ownership of tasks. Effective prioritization skills and comfort working in a fast-paced, changing environment. High level of professionalism, confidentiality, and judgment; strong interpersonal skills and team orientation.
