Assistant Director for Facilities and Event Management
plays a critical role in the day-to-day operations, facilities coordination, and event management for the Jacobs School of Medicine and Biomedical Sciences’ location at 955 Main Street. Reporting to Jacobs School administrative leadership, this position provides operational oversight for a complex academic, clinical, and event-driven environment, serving as a key liaison between campus partners, external vendors, faculty, staff, students, and visitors. The role holds responsibility for facilities operations, event planning and execution, space utilization, safety coordination, service center oversight, and customer-focused service delivery. Responsibilities
Facilities Operations & Building Management Serve as the primary facilities operations lead for 955 Main Street, overseeing day-to-day facilities operations in collaboration with the Jacobs School Facilities team, University Facilities, Campus Planning, Security, Custodial Services, IT, and other service units. Develop, manage, and monitor the building work-order log; place, track, and follow up on service requests to ensure timely resolution. Confirm, modify, and oversee room reservations within the Event Management System ( EMS ). Event & Space Management Provide strategic and operational leadership for academic, administrative, and external events hosted at 955 Main Street. Serve as Service Center Manager for room rentals and event-related space usage, working with the Jacobs School Business Office on rate setting, recalculations, and space request management. Lead event planning and logistics, including walk-throughs, staffing coordination, custodial, facilities, and security support. Tours, Outreach & Stakeholder Engagement Lead and manage building tours for internal and external stakeholders. Serve as an ambassador for the Jacobs School of Medicine and Biomedical Sciences and the University at Buffalo. Operational Leadership & Staff Support Coordinate onboarding logistics for new faculty and staff, including office setup, access credentials, nameplates, and custodial requests Monitor and manage the Jacobs School Facilities email account, triaging requests related to access, events, keys, and building issues Identify opportunities to improve facilities, event, and space management processes Develop and refine operational procedures and workflows Working at UB comes with benefits that exceed salary alone. Minimum Qualifications Bachelor’s degree with 2 years of progressively responsible experience in facilities operations, event management, venue management, or related fields. Demonstrated experience managing complex logistics, facilities operations, or events in a multi-stakeholder environment. Strong organizational, communication, and problem-solving skills. Strong customer service orientation and professionalism, with the ability to serve as an enthusiastic ambassador for the School and University. Ability to work independently, manage competing priorities, and exercise sound judgment. Preferred Qualifications Experience in higher education, athletics, healthcare, or large-scale event operations. Familiarity with EMS or similar space and event management systems. Familiarity with iLabs or similar service center management platforms. Salary and Benefits
Salary Range Salary Range $60,000 - $75,000 Additional Salary Information The salary range reflects our good faith and reasonable estimate of the possible compensation at the time of posting, the role and associated responsibilities, and the experience, education, and training of the selected candidate.
