Position Summary
The Enrollment Specialist supports families by guiding them through the child care enrollment process from inquiry to placement. This role ensures a smooth, welcoming enrollment experience for families while supporting program compliance and enrollment goals. Essential Duties and Responsibilities
Serve as the primary point of contact for prospective families, responding to inquiries by phone, email, and in person.
Schedule and conduct facility tours for prospective families; explain program offerings, enrollment procedures, eligibility requirements, tuition rates, and financial assistance options.
Process enrollment applications and re-enrollments, ensuring all required documentation is complete and accurate.
Collaborate with site directors and program staff to align enrollment with staffing, licensing, and ratio requirements.
Monitor enrollment levels and waitlists to support complete enrollment and effective classroom utilization.
Maintain accurate and confidential child, family, and enrollment records in the YWCA York’s data system.
Verify eligibility for subsidized care, scholarships, or other funding sources in compliance with regulations.
Communicate enrollment status, start dates, and required next steps clearly and promptly to families.
Demonstrate keen knowledge of Child Care Connection requirements and ensure enrollment practices remain compliant
Manage and monitor Child and Adult Care Food Program (CACFP) documentation to ensure compliance with program standards and audit readiness.
Support compliance with local, state, and federal child care regulations and organizational policies.
Support the YWCA York’s Customer Service area by providing a welcoming, culturally responsive enrollment experience that supports family engagement, satisfaction, and ongoing compliance.
Qualifications
Education & Experience
Associate or bachelor’s degree, or an equivalent combination of education, training, and at least two years of relevant experience preferred.
Knowledge, Skills, and Abilities
Strong attention to detail is required, with the ability to accurately manage documentation, compliance requirements, and data entry while meeting deadlines
Strong interpersonal, organizational, and communication skills
High level of discretion, confidentiality, and cultural competency
YWCA York Requirements
Must support the YWCA mission to eliminate racism and empower women
Clearances required: PA Criminal Background Check, Child Abuse Clearance, FBI Fingerprinting (or waiver affidavit)
Work Environment & Physical Demands
This position operates in a professional environment
Must be able to remain in a stationary position for extended periods
Occasionally may need to lift supplies up to 20 pounds
