This opportunity is for a full-time Property Management Assistant (“Assistant”) to assist the Leasing Administrator and Controller. The Assistant will work closely with the Leasing Administrator and Controller, tenants, vendors and OAC staff to ensure the successful daily operation of multiple properties and will report to the Leasing Administrator. The Assistant is critical to the success of the company’s reputation and performance. Essential Functions & Responsibilities

Keep open communication with management team and provide support as needed Create and maintain tenant, vendor & property electronic files Set up new vendors and service providers, including obtaining company W9’s, COI’s and payment information Maintain tenant certificates of insurance, ensuring that they are up-to-date and accurate Support accounts receivable invoicing, association assessments & reimbursements Support accounts receivable collections, sending notices, certified mailings Coordinate meetings with tenants, owners, associations, prepare agendas, materials, take notes and distribute Assist with property and lease onboarding of new tenants Assist with annual operating and capital expenditure budget production Assist with accounts receivable, payables and property accounting Assist with tenant lease and association bylaws administration Assist with reviewing operating expenses for accuracy, identifying discrepancies & support TICAM and CAM reconciliations Assist with producing 1099’s Assist with bank statement reconciliations Organize, re-save files, at month-end and create new cover pages for monthly owner and quarterly association reports Processing payments by pushing through AvidPay Processing Paylease, epayments and inputting online ACH payments from tenants Pay bills through AvidPay and communicate with vendors on missing payments Scan and input checks Prepare monthly Amex expense report for Site Supervisor Process loan statements and input principal and interest amounts Handle certified mail, mass copying/scanning/mailing, maintain templates and general administrative tasks Receive, review and route vendor invoices for approval; verify against contracts, code and enter them into the accounting system Track HVAC, grease exhaust fan service contracts and other tenant requirements under the lease Keep HVAC inventory updated Maintain positive communications with Owners, Tenants, and Vendors Make recommendations for cost savings Dress is business casual/casual to interact with owners, tenants and other service providers All other duties assigned and associated with the day-to-day management of client accounts Desired Skills, Experience & Requirements

Experience with Microsoft Office and Google Workspace software programs The ability to think and work both independently and in a team environment Organized with ability to multitask while keeping track of priorities and maintaining big-picture focus A proven record of providing excellent internal and external client service consistently Superior communications skills, both verbal and written Detail oriented and organized Compensation
