The Property Manager will oversee the overall management of assigned properties to increase the value of the properties by creating and implementing a comprehensive management plan. ESSENTIAL FUNCTIONS/TASKS Develop and maintain an in-depth working knowledge of the assigned properties, including the property's physical condition, mechanical, structural, etc. Meet deadlines and other priorities (i.e. accounting timelines, ensuring the accuracy in new tenant set-up, coding and approving accounts payables, and work order timelines as it relates to tenant services, etc.) Timely response to all property emergencies and concerns that are dispatched during or after business hours. Communication and coordination with property maintenance staff, tenants and vendors, which may include on-site property visits after business hours, as required. Supervise on-site property team members ensuring internal tasks and projects are completed on time. Prepare and/or maintain files for each assigned property for the buildings, utilities, tenants, contractors, vendors, contracts, property insurance, and other information necessary to operate each property. Prepare annual budgets and property assumptions, annual CAM reconciliation adjustments and property reports. Review operating statements and aged receivables on an on-going monthly basis and resolve discrepancies, as required. Administer tenant lease defaults within the terms of the lease, company policy and procedure timelines. Track property budget(s) to meet financial obligations. Respond and resolve tenant questions and concerns in a timely and professional manner. Compose tenant correspondence and property notices. Administer tenant and landlord compliance within the terms of the lease. Inspect assigned properties on a periodic basis for maintenance and tenant compliance measures. Track and maintain certificates of insurance documents for all tenants, vendors and contractors. Investigate accidents, vandalism, property damage, etc. as required. Review situation, write and submit reports to Corporate Risk Management and supervisor. Discuss insurance concerns with the appropriate in-house personnel. Authorize repairs and mobilize vendors as required. Contract with vendors regarding property operations and maintenance i.e. (but not limited to) landscaping, HVAC, parking lot sweeping, storm drain cleaning, electrical repairs, plumbing, etc. Follow appropriate bid processes, review information, analyze and award the contract utilizing proper in-house signing authority procedures. Obtain bids for capital and tenant improvement projects and prepare appropriate spending approval forms (MSC) for signature by supervisor prior to awarding the work and initiating the project prepare contracts for signature thereafter. Provide project management for capital projects and tenant improvement projects, including general contractor oversight and management. Obtain labor and material lien releases and certificate of insurance from contractors for all tenant improvement or capital improvement projects. Conduct move-in and move-out unit inspections with tenants prior to occupancy and upon expiration of lease or move out. Complete related paperwork for security deposit refunds or closing out a tenant account on a timely basis. Communicate and prepare vacant spaces for unit turnover (i.e. janitorial, general repairs, painting, carpet, and utility (gas/electric) changeover(s). Maintain and track lease rollovers or projects for pending transactions and items requiring follow-up. Utilize company procedures and tracking methods to meet internal audit requirements. Type correspondence, reports, notices, etc. Distribute and copy information to an electronic file. Paperwork must be prepared accurately, timely and meet specified deadlines. Maintain tenant, vendor and property files with good record keeping. Involves copying, filing, assembling, labeling, organizing files and electronic files. Follow up in written format with a copy of the letter or correspondence to the tenant electronic lease file or vendor electronic file. Review and approve accounts payable invoices input for accuracy, information and general ledger coding on a weekly basis. Correct as required. Print and distribute monthly reports for the team, as needed. Responsible for maintaining and safe keeping of all keys and lock distribution to tenant units. Additional duties and special projects may be required, as assigned. Experience, training, skills required: A minimum of five years' property management experience in commercial/office and/or industrial, handling property maintenance & repairs, tenant improvements, tenant complaints, vendor contracts, lease administration and lease enforcement. Knowledge of real estate law, finance, accounting practices and procedures. Strong ability to read and interpret lease documents. Proficient computer skills including Microsoft Office and property management software systems (Yardi experience preferred). Strong written and oral communication skills. Organized, detail oriented and multitasker. Utilize good customer service skills when assisting tenant inquiries, vendors and others. Dependable, reliable, cooperative. Good interpersonal skills. Positive attitude and cheerful disposition in a team-oriented environment.
