Overview The American Museum of Natural History is one of the world’s preeminent scientific and cultural institutions, and has as its mission to discover, interpret and disseminate information about human cultures, the natural world and the universe through a wide-ranging program of scientific research, education and exhibition.

The Event and Conference Services (ECS) department is seeking a full-time Event Manager. The Event Manager schedules internal meetings, programs, and events and coordinates requirements for them. The Event Manager is responsible for planning and executing both internal and external events.

Applicants should be focused on great customer service and be dedicated to meeting client expectations by building effective relationships and completing projects to the highest standards. They should possess excellent judgment, problem-solving skills, project management skills, organizational skills and be able to balance multiple tasks and project timelines.

Responsibilities Job duties include, but are not limited to:

Venue Booking and Administration : Manage meeting/program/event requests. Respond to a high volume of requests in a timely and accurate manner. Assign and schedule meetings/programs/events based on space and resource availability. Organize, input, and manage data in our booking management software (Momentus). Participate in daily calendar review meetings. Analyze space usage and produce various space usage reports. Support department operations and administration as needed.

Meeting, Program, and Event Coordination : Act as the client’s point of contact during the planning and execution of live events. Build and maintain effective client relationships, anticipating requirements, understanding client needs and ensuring that requests are addressed in a timely manner. Ensure clear communication with the client around all project deliverables including roles and responsibilities, agreed scope and budget, timelines, planning, onsite deliverables, and post event reporting. Involvement in or oversight of all elements of the planning process including but not limited to food and beverage, AV, staffing, security, transportation, facilities, and vendor management.

Work Schedule : Maintain a work schedule that includes early mornings, weekends, evenings and holidays.

The expected salary range for the Event Manager is $70,000/annual – $75,000/annual. The AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.

Qualifications Minimum Qualifications:

High School Diploma or equivalent. 3 years of experience coordinating events, including professional experience working with food and beverage services, venue scheduling and operations, event planning and/or hospitality.

Experience with CRM/Event Management software.

Experience with floor plan design software.

Excellent computer skills, including proficiency in Microsoft Office Suite (Outlook, SharePoint, Teams, Word, Excel and PowerPoint). Excellent writing and communication skills.

Preferred Qualifications:

Experience at a nonprofit or cultural institution.

Physical Demands

Must be able to remain in a stationary position (sitting or standing) for prolonged periods.

Must be able to move about the Museum campus.

Positioning/change of positioning: Must be able to frequently position oneself/body to accomplish job duties.

Exerting up to 50 pounds of force occasionally and up to 20 pounds of force frequently. May include any of the following:

Pushing: Using upper extremities to press against something with steady force to thrust forward, downward, or outward.

Pulling: Using upper extremities to exert force in order to drag, haul or tug objects in a sustained motion.

Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position-to-position.
