Position Summary
The Marketing Assistant supports the CHHA’s marketing and business development efforts by assisting with referral tracking, outreach coordination, reporting, and day-to-day administrative marketing functions. This role plays a key part in supporting census growth, strengthening referral source relationships, and ensuring accurate tracking of marketing activity while maintaining compliance with NYS DOH and agency standards.
This is an
in-house, non-clinical
role focused on operational support, data tracking, and coordination rather than independent sales.
Responsibilities Marketing & Outreach Support
Assist the Director of Business Development and Outreach Specialists with daily marketing operations
Prepare outreach materials (flyers, brochures, business cards, event materials)
Coordinate logistics for marketing events, hospital visits, community events, and ALF/SNF outreach
Maintain organized records of referral sources, contacts, and outreach activity
Support onboarding and orientation of new outreach staff as assigned
Referral & Data Tracking
Track incoming referrals by source, county, payer, and outcome
Maintain and update referral logs from systems such as EPIC, CarePort, WorldView, Allscripts, etc.
Assist with weekly and monthly marketing reports (referrals, conversions, lost referrals)
Identify trends and gaps in referral activity and escalate concerns to leadership
Ensure data accuracy and timely reporting for leadership and corporate review
Administrative & Coordination Duties
Schedule outreach appointments, meetings, and follow-ups
Assist with maintaining calendars for marketing staff
Prepare agendas, summaries, and follow-up notes for meetings
Support internal communication between marketing, intake, scheduling, and leadership
Maintain organized digital and physical marketing files
Compliance & Professional Standards
Ensure all marketing materials and outreach practices comply with NYS DOH, CHHA, and corporate policies
Maintain professionalism and confidentiality when handling patient-related or referral information
Adhere to HIPAA requirements at all times
Qualifications Required
High school diploma or equivalent
Strong organizational and administrative skills
Excellent written and verbal communication
Proficiency in Microsoft Office (Excel, Word, Outlook)
Ability to manage multiple tasks in a fast-paced healthcare environment
Attention to detail and strong follow-through
Preferred
Associate’s or Bachelor’s degree in Marketing, Healthcare Administration, or related field
Experience in home care, healthcare marketing, or referral-based industries
Familiarity with referral platforms (EPIC, CarePort, Allscripts, WorldView)
Basic understanding of CHHA or LHCSA operations
Experience with CRM systems or data tracking tools
