Remote, full-time position: Executive Sales Assistant. Salary: $10,800 - $14,400/yr. Company: WeAssist. Led by a founder who cares and a culture focused on growth, integrity, and impactful, inclusive work. Key Responsibilities Client Communication & Follow-Ups
Manage follow-up communications with clients via email, iMessage (iPhone), WhatsApp, CRM, and Google Messages
Respond to client inquiries, create and manage WhatsApp group chats, send warm introductions, schedule calls, and follow up on cold or inactive leads
Calendar & Scheduling Management
Own and maintain the CEO’s full calendar; coordinate with clients, internal teams, and partners
Schedule meetings with clarity on time zones and objectives; manage overlapping requests with Operations & Communications Coordinator
Identify potential conflicts and offer solutions
Email Management
Manage Reef’s personal and WeAssist inboxes; triage urgency and priority
Draft, send, and follow up on important emails to clients, prospects, and partners
Organize and flag items for Reef’s attention
Task Management & Execution
Extract and organize action items from various meetings
Collaborate on a shared Notion board to track to-dos, milestones, and timelines
Follow up on incomplete tasks and hold Reef accountable to commitments
Pipeline Management
Enter and maintain contact records, deals, and lead source details
Update lead and deal stages in real time; log meeting notes and communication history
Outreach & Lead Nurturing
Send follow-up messages to event leads; schedule calls and follow up with non-responsive contacts
Respond to inbound messages across LinkedIn, Instagram, Google Messages, and WhatsApp
Support relationship-building and lead engagement initiatives
Affiliate & Partner Coordination
Client Onboarding
Send thank-you messages and next-step instructions after deal closure
Draft and send client contracts; create Slack channels and schedule Kick-Off calls
Reporting & Sales Support
Administrative & Project Support
Executive & Personal Assistance
