Mail/Distribution Services Representative - Entry Level

The Mail Services Associate ensures the accurate, timely, and secure handling of internal mail and packages across multiple locations. This role supports daily business operations by coordinating mail flow, resolving routine service inquiries, and maintaining compliance with quality, regulatory, and client-specific requirements in a multi-client environment. What You Will Get To Do: Receive, process, scan, and distribute incoming and outgoing mail, faxes, and packages in a timely and accurate manner using established workflow systems. Log, track, and reconcile all incoming mail and checks; prepare and deposit checks in accordance with client requirements and internal controls. Verify Medallion Signature Guarantee stamps using approved verification tools and procedures. Scan, organize, and file daily fund packets and historical records to support retrieval, audit, and compliance needs. Maintain inventory control for mailroom supplies, records, and client-specific materials. Manage secure storage and retrieval of documents through an offsite records management provider, including handling materials weighing up to 25 pounds as needed. Respond to and fulfill internal, client, and shareholder requests for information, records, and document delivery in accordance with service standards and regulatory requirements. What You Will Bring: Ability to follow defined processes and meet accuracy, quality, and timeliness standards. Basic proficiency with scanners, tracking systems, or similar operational technologies. Strong attention to detail and organizational skills. Prior experience in mail services, logistics, records management, or a similar operational role. Familiarity with compliance, regulatory standards, or service-level agreements. Experience working in a multi-client or shared services environment. Basic recordkeeping or reporting experience. Computer experience (Word, Excel, Microsoft Outlook) Ability to work independently as well as in a team environment High School diploma or equivalent required with 1 year of prior work experience.
