Responsibilities

Answer phone and assist with tenant needs.

Monitor, create, and update tenant requests and preventative maintenance tasks in the work order system; respond to inquiries by providing routine information and/or taking and delivering messages.

Receive, distribute, and review all purchase orders, track purchase orders/invoices in Yardi, alert management of any problems or unresolved purchase orders/invoices, and run monthly reports.

Coordinate special events such as holiday events/parties, welcome lunches, book fairs, blood drives, food drives etc.

Maintain inventory of office supplies and assist with procurement of office and maintenance materials.

Order new or update existing building signage and electronic directory boards.

Coordinate annual fire drills and safety training at properties.

Assist with preparing and administering master service agreements along with new vendor setup.

Monitor outside vendors for compliance of contracts and certificates of insurance.

Establish and maintain record keeping and filing systems; classify, sort and file correspondence for tenant files and other documents.

Responsible for accounts payable, accounts receivable and reporting; organize and code invoices.

Assist manager and building engineers with update of sub metered electrical and water analysis worksheets as utility invoices are received.

Compiling and reviewing Tenant Billings and other miscellaneous charges and prepare monthly chargeback forms to be submitted to property accountant.

Provide management team with aged delinquency reports and send delinquency letters.

Work closely with third party janitorial staff to ensure contract compliance and maintain janitorial square footage report.

Manage badge requests and renewals relating to building access.

Prepare and maintain tenant handbooks and oversee quarterly newsletters.

Competitive benefit package and generous cash incentive, pay rate commensurate with experience: $22.00- $25.50/hour.

Requirements

High School Diploma or GED required; associate or bachelor’s degree preferred.

Previous exposure to commercial property management; Healthcare experience preferred.

Experience with Yardi software.

Previous experience in real estate accounting and familiarity with monthly accounting cycle, including an understanding of A/P, A/R, and commercial leases.

Possess professional demeanor and excellent interpersonal and customer service skills.

Have access to reliable transportation and maintain a valid driver's license.

Computer literate and proficient in MS Word, Excel, PowerPoint, Outlook.

Excellent communication skills, both verbal and written.

Ability to work independently.

Onsite attendance is an essential function of the job and is required in-office or at properties five (5) days per week.
