Position Description The Event Sales & Service Coordinator supports the intake, planning, and execution of events hosted at the National Training Center (NTC). This role is responsible for managing assigned events from initial inquiry through event day, serving as the primary NTC point of contact for clients, members, internal departments, and external groups. The coordinator works within the booking system to organize event details, partners with the Food & Beverage Partner to develop BEOs, and ensures all operational requirements are captured and communicated clearly.
The role supports a wide range of programs including external rentals, Coaching Education, Referee Development, Membership events, and other Federation initiatives. As a key member of the NTC operations team, the coordinator contributes to delivering a seamless, professional, and high-quality experience for all guests and stakeholders.
Primary Responsibilities
Event Intake & Client Support: Manage assigned event inquiries from intake through execution, ensuring accurate scoping and clear communication of expectations.
Serve as the primary NTC point of contact for clients, members, and internal stakeholders throughout the planning process.
Work within Momentus to enter, track, and update event details, requirements, and associated documentation.
Support the Manager, Event Sales & Service in assessing fit, availability, and prioritization of events within the NTC programming calendar.
Event Planning & Coordination: Coordinate event logistics and requirements, including room sets, A/V needs, signage, accessibility accommodations, and event resources.
Work with Levy to develop BEOs, ensuring all food & beverage details are accurate and aligned with client expectations.
Collaborate with Facilities, Security, IT, Hospitality, and other NTC teams to ensure operational readiness.
Develop production schedules and run-of-show documents for assigned events.
Support pre-conference meetings, daily huddles, and post-event reviews to ensure consistency and continuous improvement.
Event Execution: Serve as the on-site NTC representative during events, ensuring timely setup, execution, and breakdown.
Troubleshoot issues on event day and escalate operational needs when required.
Maintain strong communication with all stakeholders to ensure seamless delivery of the event experience.
Systems, Documentation & Standards: Maintain accurate and detailed event records in Momentus, serving as the central repository for planning coordination.
Ensure compliance with NTC policies, rate structures, and service standards.
Contribute to the development of playbooks for recurring event types (e.g., coaching courses, member meetings, tournaments).
Support consistent application of intake, approval, and scheduling workflows.
Cross-Functional Collaboration: Coordinate with Hospitality to ensure guest arrival experiences, wayfinding, and front-of-house services are aligned with each event.
Partner with Finance on billing, invoicing, and reconciliation for assigned events.
Provide timely updates to internal partners regarding event needs and impacts.
Other Duties: Assist with tours or VIP activations when aligned with event activity.
Provide administrative support related to event operations as assigned.
Support special projects and operational initiatives of the NTC as needed.
Requirements Minimum Qualifications
1–3 years of experience in event coordination, event services, venue operations, or a similar role.
Strong organizational, communication, and customer service skills.
Experience working cross-functionally and managing multiple priorities in a fast-paced environment.
Proficiency with event or CRM systems (e.g., Momentus, Ungerboeck, Salesforce) or willingness to learn quickly.
Ability to work flexible hours, including evenings, weekends, and holidays as dictated by event schedules.
General knowledge of soccer.
Capable of working in fast-paced and demanding environments.
Must be able to connect “micro” details to the “macro” vision and mission.
Proficient experience with Microsoft Suite (Word, PowerPoint, Excel, and Outlook).
Experience supporting events in sports, hospitality, higher education, or a multi-venue facility.
Familiarity with BEO processes and food & beverage operations.
Multilingual skills (Spanish preferred).
Understanding of accessibility standards and inclusive design.
Passion for soccer and service-minded operations.
